What We Want

The Grant Administrator I, under general supervision, provides support for grant initiation for post-award administrative paperwork leading to account establishment. Develops sub agreements and reviews budget submissions before final approval. Acts as liaison with compliance committees.

Required Education & Experience:

  • Bachelor’s degree or equivalent combination of education and experience

  • Two years of related experience in contract and grant administration in a University or state agency setting

Required Knowledge, Skills, and Abilities:

  • Advanced computer skills in word processing and spreadsheets

  • Planning and organizational skills. Knowledge of Grants & Contracts program management

  • Outstanding interpersonal and leadership skills, high ethical standards, and a commitment to excellence. Ability to work well under deadlines

  • Ability to multi-task and work cooperatively with others

Preferred Qualifications:

  • Certifications - Certified Research Administrator, Certified Pre-Award Research Administrator, or Certified Financial Research Administrator

  • Experience - Two years experience in research program management

  • Experience in accounting and budgeting of grants and contracts

  • Experience with compliance related matters

  • Experience with compliance and post award management (cost sharing, indirect)

Responsibilities:

  • Research and Grants Administration: Works with RGSO and VPR-TAMU to monitor and control operating expenditures; makes projections on all assigned research and grant accounts. Works with Maestro. Balance and reconcile research accounts monthly. Processes and monitors cost share, financial corrections and re-budgeting documents in a timely manner to ensure accounts are not overspent. Prepare, review, and allocate requisitions and invoices for goods and services associated with research. Prepare, monitor and reports budget activity for PIs. Monitors payroll on research accounts. Review time and effort documents to ensure PI effort is correct. Monitor time and effort certifications to meet state and federal guidelines. Ensures all certifications are current and filed within appropriate deadlines. Serves as a back-up to the Business Administrator I positions handling research. Serves as a liaison with financial, payroll, human resources, and Sponsored Research Services.

  • Principal Investigator Support: Works with and advises PIs about insurance policies and service contracts; monitors equipment associated with each and processes renewals. Assists RGSO/TIO with issuance and monitoring of undergraduate and graduate awards and Research Development Funds. Assists PIs with purchasing and travel credit cards, orders, contracts and invoices. Coordinates and maintains paperwork associated with management of research capital equipment purchases to include purchase orders, asset number. Serves as a PI resource and interprets sponsor and System policies, regulations, and University rules.

  • Personnel Administration: Creates PARs, position descriptions, and costing associated with recruiting new employees. Coordinates the postings and hiring of student workers. Coordinate research position and graduate student payroll and terminations. Coordinates departmental training of new employees on procedures and regulations. Tracks and assists international researchers and graduate students regarding immigration documents and expiration dates. This includes preparation of all required forms.

  • Revenue Management: Identifies, establishes, and implements the internal departmental procedures and controls necessary to assure maximization of TEES, TEEX, TAMU, TAMUG, State of Texas, Federal and private resources. Coordinate with PIs and lab personnel to ensure sponsor spending requirements are met. Performs other duties as assigned
