Position Description


Advertised Job Summary
Under the limited supervision of the SEOE Graduate Director and Business Manager, coordinates the daily operations of the SEOE Graduate Student Services Office, which supports MS and PhD degrees in Geological Sciences and in Marine Sciences, the Masters in Environmental and Earth Resource Management (MEERM), and dual degree in MEERM/JD. Provides guidance to the Graduate Director and graduate students regarding admissions requirements, financial aid, curriculum requirements, degree progression, and graduation requirements. Develops and administers policies and procedures for the degree programs to ensure conformance with SEOE, University and Graduate School requirements. Creates and maintains reports of student information. Supports prospective student visits and graduate student orientation. Manages hiring for all SEOE graduate students and graduate teaching assistants.
Minimum Qualifications
Bachelor’s degree.
Preferred Qualifications
Bachelor’s degree and 2 years of related experience in a student services filed. Knowledge of PeopleSoft HCM, Banner, Data Warehouse, Listserv, CollegeNet, Formstack, and E-Verify. Ability to edit PDF files. Experience with Microsoft Access. Knowledge of the principles, policies and practices of the University of South Carolina and the College of Arts and Sciences. 
Knowledge/Skills/Abilities
Excellent oral and written communication skills. Excellent organizational and managerial skills. Knowledge of database management.

Coordinate recruiting efforts for SEOE graduate programs: a) Prepare all necessary correspondence, reports, and other documents needed for recruitment of new graduate students. Work with Graduate Director on informational brochures as needed. b) Coordinate and attend graduate student recruiting events at various national and regional meetings.

Coordinate processing of new graduate program applicants: a) Track and process prospective graduate student applications through the review process. b) Advise prospective graduate students on university and school admission requirements and financial support opportunities and criteria. c) Organize on-site interviews and recruiting events for prospective students (e.g., arrange accommodations, transportation, meetings etc.) d) Prepare orientation materials and conduct orientation session for new students. e) Organize graduate student retreat for incoming students and the Spring and Fall receptions.

Advise enrolled students on degree progression and clear students for registration. Maintain confidential student files. Advise students of important requirements and other opportunities via the graduate student listserve. Arrange, coordinate, and host graduate student employment and internship recruiting visits. Serve as liaison with the Graduate School, International Programs, Registrar’s Office, Bursar’s Office, Financial Aid Office, Office of National Fellowships and Scholar Programs, Contract Grant Accounting, Honors College, College Alumni Office, the private sector and various scientific associations.
