JOB SUMMARY

The Graduate Program Enrollment Manager is responsible for management of integrating marketing, university recruitment, graduate services and external relations for all graduate degree and certificate programs in the School of Engineering (SoENGR), including Graduate Programs and Certificates offered by the Departments of Software Engineering & Data Science, Mechanical Engineering, Electrical Engineering and Other programs.  S/he develops, adapts, and deploys digital and in-person SoENGR program technical expertise to support the interconnectivity of support services to these programs.

 

ROUTINE DUTIES AND RESPONSIBILITIES:

  • Daily responsibilities include communication on program technical requirements with university recruitment services, program directors, graduate services and applicants for queries through Salesforce tools, phone outreach, personal e-mails, WhatsApp, and Marketing Cloud
  • Manage SoENGR program technical messaging for evolving marketing materials, in coordination with enrollment management office, university marketing groups and SoENGR for recruitment events, information sessions, open houses, etc.
  • Event management for SoENGR specific events including corporate, regional, national, and global recruitment events to recruit for and represent technical components of SoENGR graduate programs
  • Provide program technical support to university recruitment services for prospective students and applicants across graduate programs.
  • Technical support of department specific application inquires including email box questions
  • Coordination with university services for processing deferrals/change of application terms for started, submitted, completed applications status
  • Technical support for application waivers
  • Coordinate with internal departments to assure quality service and accurate information to our students, including the Business Office, Graduate Admissions, Financial Aid, Office of International Student Services, Veterans Resources, and other St. Thomas graduate programs.
  • Communicate data analytics for recruitment and application reports for deans office.

 

ESSENTIAL FUNCTIONS

  • STUDENT RECORDS/REGISTRATION: Support creation and manage integrity of all new student records. Assist department staff in directing new student questions regarding registration, course waitlists, transfer of credits, and course substitutions.  Serve as liaison with the university administration for enrollment maintenance as a member of the Records and Registration committee and with Student Financial Services. Work with relevant offices to maintain quality assurance of all international transcripts and verifying language test score proficiency requirements are met.
  • STUDENT ADVISING/RETENTION: Maintain contact through the onboarding of all new students. Advise students of academic requirements. Advise the dean’s office, graduate office and program directors on student issues. Work in collaboration with dean’s office and graduate office on developing programmatic goals and policies. Provide student service information on the Graduate One St Thomas website and keep the website updated when program policies and procedures change.  Promote events and national/local conferences.
  • EVENT PLANNING: Coordinate with department and enrollment management office on annual new student event planning, including orientation events, information sessions, the Spring Graduate Conference, the Summer Publishing Institute, visiting speakers, and other professional development events for students. This includes speaker contracts, promotion including creation of events on Salesforce, OneStThomas, and Tommie Link, room reservations, room layout, catering, student attendance tracking, book sales, and all other day of activities. Recruit and advise graduate student representatives on planning and implementing graduate student events.
  • MARKETING: Collaborate with department and enrollment management office to generate marketing content. Coordinate oversight and updating of web pages, including social media pages, with relevant information for current and prospective students. Conduct research on peer institutions to advise the dean’s office, graduate office and program directors of trends and potential areas of programmatic development. Work closely with social media to develop and enhance the program’s online presence and online marketing efforts.
  • ADMISSIONS: Work closely with the enrollment management office in responding to technical components of program inquiries and advising prospective students regarding admission procedures and program requirements.  Advise the dean’s office, graduate offices and program directors on admission and credit hour projections. Help plan and execute new student orientations.   
  • ALUMNI RELATIONS: Collaborate with department to provide ongoing communication with alumni regarding job postings, conference opportunities, and invitations to student/alumni events.   
  • LIASION WITH UNIVERSITY ADMINISTRATION: Serve on committees for the graduate programs, including emerging graduate programs; represent the graduate programs at relevant university committee meetings. Serve as main graduate contact for the Business Office, Financial Aid, Registrar, and MIC.
  • BUDGET MONITORING: In collaboration with the dean’s office, graduate office and program directors, monitor the program recruitment budgets. Maintain a file of receipts and a record of program expenses. Process purchases and invoices using EBuy&Pay.

 

 

 



Minimum Qualifications

  • Bachelor’s degree
  • Five years of program administration, sales experience, or recruitment experience, preferably in an academic environment

Preferred Qualifications

  • Experience in admissions counselling

An equivalent combination of education and experience from which comparable knowledge and skills have been acquired may be substituted.
