Job Summary

Under the general supervision of the Associate Dean for Graduate and Professional Studies, the Graduate Admissions and Enrollment Coordinator will administer all SPHSS graduate recruitment, admissions, and enrollment processes for 6 SPHHS academic departments, each with multiple graduate degree programs. This role will independently enhance and execute a variety of functions designed to recruit and enroll qualified graduate students to the University of Massachusetts Amherst School of Public Health and Health Sciences. The Coordinator’s activities are consistent with the University’s Mission Statement and the Vision and Mission of the School of Public Health and Health Sciences.

Essential Functions

  • Serve as the central admissions expert with deep understanding of all graduate degree programs across SPHHS. Maintains a deep understanding of each program’s unique requirements and processes.
  • Coordinate current recruitment efforts across the 6 SPHHS academic departments and work to enhance and expand future efforts for all graduate programs within SPHHS.
  • Serve as first point of contact for prospective students, providing support on both programmatic questions and the application process.
  • Conduct initial review of all application materials to ensure completion, evaluate adherence to baseline program requirements, and determine eligibility. Make admission decisions regarding applicants that do and do not meet baseline criteria. Communicate with applicants to triage application materials, address missing and incorrect information, and notify applicants who do not meet baseline criteria.
  • Represent academic departments and provide admissions information for recruitment purposes, including coordinating events and representing SPHHS at events such as the Graduate and Professional Schools Information Day and Internship and Workforce Development Fair at the University, as well as offsite events: the annual meeting of the American Public Health Association (APHA), The Public Health Symposium at Mount Holyoke College, and ASPPH (Association of Schools of Public Health and Health Sciences, Washington, D.C.) sponsored events.
  • Serve as UMASS representative on ASPH and APHA working committees.
  • Manage tracking, data entry and analysis of student outreach and support marketing efforts in the Salesforce Database.
  • Develop recruitment and outreach strategies with SPHHS Communications team.
  • Serve as SOPHAS (Schools of Public Health Application System) Administrator for the School of Public Health and Health Sciences (SPHHS). Represent SPHHS and serve as liaison between SPHHS and external constituencies, which include various University Departments, the Graduate School and OIT staff to develop and implement a system to integrate SOPHAS application system within the University’s student management system (SPIRE). Collaborate and coordinate with Graduate School to ensure that all student admission requirements are met.
  • Coordinate with Graduate Program Directors & Chairs in Departments of Biostatistics & Epidemiology, Environmental Health Sciences, and Health Policy & Management to coordinate admissions review process, manage enrollment and ensure matriculated student records and degree requirements are maintained and satisfied up to completion of degree program.
  • Partner with Graduate Program Directors to ensure students receive appropriate and accurate information regarding degree requirements and University and Graduate School policies and procedures.
  • Utilize SPIRE to monitor students’ academic progress and alert Graduate Program Directors of any students in academic jeopardy.

Other Functions

  • Perform related duties as assigned or required to meet Department, Executive Area/Division, and University goals and objectives.
  • May assist in coordinating submission of forms to Graduate School for graduation requirements.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor's degree.
  • Over two (2) years of professional experience in Higher Education.
  • Ability to work effectively with a diverse group of individuals (faculty, staff, students, etc.).       
  • Ability to work under pressure to meet deadlines.
  • Experience and competence with Microsoft Office (particularly Word, Outlook, Excel, and PowerPoint), as well as SalesForce (or similar database systems), as well as comfort with a variety of computer-based management tools, budgeting tools, etc. Ability and willingness to learn new systems and processes.
  • Keen attention to accuracy and detail.
  • Excellent written and oral communication skills including presentations, proposals, reports, memoranda and correspondence of both a technical and confidential nature.
  • Accurate judgment coupled with good decision-making ability in normal and emergency situations.
  • Excellent organizational and collaboration skills to oversee numerous projects at the same time.
  • Willingness to contribute to a positive working environment, including respectful and collaborative working relationships.
  • Commitment to inclusion and awareness & understanding of diverse thought, cultures, race, gender, and other differences.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Master’s degree.
  • Related admissions experience in Higher Education.
  • Knowledge of Federal and State laws, regulations and procedures in regard to the maintenance of student records.

Some evening and weekend work will be required. Occasional travel is required.
