Job Summary:


The Gift Processing Specialist will log monies received, prepare daily tax receipts, file/scan gift documentation, and enter/update data into the alumni and donor database (Raiser's Edge NXT). The Gift Processor Specialist will also oversee the hiring, training, and responsibilities of Gift Administration student workers and the conversion of physical to digital file storage in accordance with record retention policies.

Essential Duties:

  • Log daily donations received by the University. Ensure gift batch documentation is scanned into the electronic filing system (PaperSave), including all gift documents, batch reports, and deposit documentation.
  • Generate, prepare, and review tax receipts for daily gifts. After final review by the Assistant Director of Gift Administration, ensure receipts are stuffed and prepped for mailing.
  • Work with colleagues to maintain the integrity of the data in the alumni and donor database (Raiser's Edge NXT) by utilizing various queries and reports to review data quality.
  • Locate and update missing alumni and/or donor information in the University database or other available department research tools, such as Lexis Nexis and LinkedIn Sales Navigator.
  • Manipulate and format datasets in Excel to prepare data for gift imports.
  • Generate Cash Flow and Matching Gift reports in Raiser's Edge NXT and format in Excel as needed. Assist with creating, updating, organizing, and distributing Gift Administration documents, ensuring they meet accessibility standards. Assist the Assistant Director of Gift Administration in conducting research on donors or specific gift acceptance policies. Assist in gathering materials for audits or reports.
  • Responsible for the hiring, developing, and monitoring the progress of Gift Administration student employees, in accordance with current On-Campus Student Employment procedures.
  • Train student employees on alumni and donor database (Raiser's Edge NXT) usage pertaining to their work and on the electronic filing system (PaperSave). Coordinate and maintain front desk and other student employee procedures. Manage student employee progress in data entry and record updates, scanning filing and reconciling of gift records, or on scanning project progress.
  • Oversee ongoing scanning project, specifically the process of converting physical gift documentation into scanned electronic filing in the electronic filing system (PaperSave).
  • Train and assist student worker assigned to scanning with project completion and troubleshoot issues as needed.
  • Track and manage project progress. Perform final audit of scanned documents. Prepare physical files for secure record disposition via shredding with Asset Management.
  • Work with the Development and Alumni Relations record retention contact to schedule record pickup with Distribution Services.
  • Performs other duties as assigned.

Required Qualifications:

  • Bachelor's degree, OR one year of upper-level secretarial experience, OR high school diploma and five (5) years of increasingly responsible administrative, secretarial, and clerical, or the equivalent, experience.
  • Knowledge of a personal computer and standard office machines.
  • Proficiency in word processing and spreadsheet programs or software, spelling, business math, and grammar.
  • Must be detailed-oriented, highly organized, and accurate in maintaining records.

Preferred Qualifications:

  • Experience or education in nonprofit/higher education fields preferred.
  • Experience working in a professional/educational office setting.
  • Knowledge of department and University procedures.
  • Experience using Raiser's Edge or similar fundraising CRM software.
  • Intermediate or Advanced knowledge of Microsoft 365 applications, particularly in Word and Excel.
  • Some supervisory or leadership experience.
