The Office of University Advancement helps Belmont University achieve its mission by building a stronger community of support for the entire campus amongst all its constituencies.  In collaboration with university partners, Advancement is leading the effort to prepare for the most ambitious fundraising campaign in the university’s history.  Building on a track record of success, Belmont University is undergoing a period of growth and is actively increasing its institutional advancement capacity and capabilities so it can realize its full potential as a Christ-centered university in the thriving city of Nashville, TN.  The Office of Advancement is led by Executive Vice President Dave Rosselli.
Position Overview
Belmont’s Advancement Service’s team is seeking a Gift Processing Coordinator to join their growing team. The Gift Processing Coordinator assists with gift administration activities, including gift and pledge processing; generating tax receipts, acknowledgments, and pledge reminders; resolving gift-related issues; and interfacing with finance and accounting staff as necessary.
Job Responsibilities

  • Process and oversee gifts and pledges (cash, checks, securities, gifts-in-kind, credit cards, bank drafts, matching gifts, payroll deductions) from alumni, friends, corporations, foundations, and other constituents of the university based on current policies and procedures.
  • Ensure all gifts are promptly and accurately entered, receipted, and acknowledged.
  • Accurately determine appropriate gift designation, solicitation code and other gift attributes for correct gift/pledge reporting.
  • Reconcile gift and pledge batches.
  • Completes and/or coordinates the production and proofing of gift receipts, acknowledgements, pledge reminders, and honoree/memorial notifications.
  • Works with donors and staff to resolve gift-related issues and reconcile Advancement and Accounting records.
  • Create, audit, and update constituent and gift records. Assist with managing electronic and paper records for Development.
  • Assist in providing database and other technologies user training for student workers and select staff members.
  • Assist in scheduling and coordination of Advancement Services’ student workers.
  • Assist in the execution of recurring and ad hoc projects.
  • Maintain solid understanding of IRS charitable contribution rules and regulations as they relate to gift processing and receipting.

Required Education Associate's degree or equivalent; bachelor's degree preferred.
  
Required Experience Data entry and user-level database experience required; familiarity with CRM systems or databases used in higher education and/or fundraising preferred. Two to four years of office experience required; experience in a fundraising environment preferred.
  
Working Conditions & Physical Requirements The physical requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the duties of this job, the employee is required to speak and hear sufficiently to communicate effectively by phone or in person at normal volumes. The employee’s vision must be adequate to read correspondence, computer screen, forms, etc. The position requires good manual dexterity. This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bending or standing as necessary.
