Under general supervision, the incumbent will work as the Front Desk Supervisor responsible for the supervision and direction of the day to day front desk administrative activities of the Department. Review, prioritize and manage all requests and communications. Provide training to the front desk staff. Supervise the day to day smooth operation of administrative functions including long and short range administrative needs. Provides support for planning and offer recommendations/resolution to problems. Monitor staff productivity and balance staff assignments for effective service delivery.

Assess educational and training needs of staff and facilitate staff development. Create and maintain admin staff schedule, lead weekly Admin team meetings and serve as liaison and primary contact for department Epic users. Oversees weekly deposits. Provide comprehensive customer service and manage all patient related affairs, acting as patient liaison by fielding questions, registering and scheduling appointments using EPIC systems and obtain insurance authorization. Procure various supplies, office furniture and other Department needs using Health Systems purchasing tools such as Aperek, Procurement Card and PO’s. Manage and oversee all Facility Engineering requests. Serve as point of contact for cleaning needs. Other duties and special projects as assigned.

  • Bachelor's Degree/equivalent or higher.
  • Three (3) or more years of relevant Supervisory experience (at least three staff members).
  • Epic experience.
  • Thorough knowledge of ambulatory care clinic practice management including patient care workflows and processes.
  • Experience working with UC San Diego Health Facility Engineering requests.
  • Timekeeping experience.
  • Employment is subject to a criminal background check and pre-employment physical.
  • Must be able to work various hours as the clinic is open 6 days a week.
  • Must be able to work occasionally on Saturdays.

Pay Transparency Act

Annual Full Pay Range: $67,200 - $119,600 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $32.18 - $57.28

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
