Position Summary Information


Objective
The Front Desk Assistant is a student position within the Department of Housing and Residence Life. The Front Desk Assistants are responsible for performing a variety of front desk and clerical functions and providing quality customer service 24 hours, 7 days a week. The Front Desk Assistant is responsible for assisting the Residence Hall Director or the Assistant Residence Hall Director in the effective administration of the residence hall. This is accomplished through working at the Front Desk of the building and performing related tasks as assigned. Front Desk Assistants are expected to behave in a mature and responsible manner, using good judgment, and abiding and enforcing institutional policies.
Essential Duties
Front Desk Assistants are to confirm students live in the hall by checking the student ID and to sign in any guests. They monitor the entrance to the building to insure that only residents of the building enter the student living units.
Respond to emergency exit door alarms, monitor cameras, and greet students and guests who enter the building 24 hours, 7 days a week. Be punctual in reporting to all assigned shifts.
Check in all guests at the front desk. Verify residents and give them keys for only their room when doing lockouts. Update FOB access as needed. Know emergency procedures and when it is appropriate to contact the RAs on duty, Residence Hall Director, and/or Campus Police. Follow all fire alarm system and emergency evacuation procedures appropriately.
Assist with all residence hall opening and closing responsibilities and assist with check-in and checkout procedures during the year. This includes reviewing room inventory forms, Personal Data Sheets, and other paperwork as residents check in and check out.
Trouble-shoot problems that occur with front desk operations. Maintain a clean and organized front desk and lobby area. Complete paperwork and administrative assignments in a timely manner. Including but not limited to equipment check out, room inventory forms, etc.
Read and maintain the desk log which is used to sign in and out of the desk, inventory lock-out and equipment keys, and inventory other equipment and desk supplies.
Confront policy violations that occur in the desk area and complete incident reports accurately and in a timely manner (immediately when possible). Report maintenance and custodial issues online or to the Residence Hall Director on call and show residents how to enter maintenance and custodial work requests online. Assist residents with lock out keys and other key issues.
Serve as an information source to residents and parents about college and community services. Respect and maintain student and staff confidentiality, except in cases that may be dangerous to individuals and/or the
greater community. Maintain positive and open attitude when interacting with staff members, supervisors, campus police and residents or visitors of the building.
The Front Desk Assistant should model strong leadership characteristics such as responsibility, positive attitude, fairness, enthusiasm, flexibility, commitment, integrity, good time management and communication skills, and a willingness to learn and work as a team member.
Performs other duties as assigned.
Minimum Required Knowledge, Skills and Abilities
Be Federal Work Study eligible or awarded Federal Work Study funds. Ability to work 10-19 hours per week.
You must be a student in good standing; this means you need to maintain a 2.00 GPA throughout your term of employment.
Have good interpersonal skills and demonstrate the ability to relate to people.
You must be enrolled in a minimum of 12 credit hours each semester.
You must be available for all residence hall openings and closings.
Demonstrate the ability to work independently and with minimal supervision.
Demonstrate good clerical and communication skills.
Answer the phone and record accurate messages for the Residence Hall Director and other hall staff.
Attend all training workshops and scheduled staff meetings.

Required Degree, License or Certifications
Physical Requirements
Able to ascend and descend stairs in buildings where no elevators are provided or in emergency situations.
Knowledgeable and able to articulate college policies, rules, and regulations.
Be alert to the safety of the building.
