Position Summary Information
General Information | The Card Services department is seeking a highly motivated full-time Financial Services Specialist to support Business Services. This position will provide fiscal and administrative support to Card Services, Madison Print Services and Mail Services while upholding departmental, divisional and university stated missions, values and goals. This position will cover the closing shift for the office daily until 5pm and work extended hours as needed during peak times (summer orientations and semester start ups). |

Duties and Responsibilities | Business Services - Complete monthly budget reconciliations - Assist with budget preparation and analysis - Process vendor invoices for payment - Reconcile Small Purchase Credit Card monthly - Prepare reports as needed for internal use and external customers - Submit work orders as needed in AiM for all areas of responsibility - Attend fiscal trainings and meetings to ensure university policies and procedures are always followed and executed appropriately Card Services - Review daily paperwork for accuracy - Reconcile Off Campus Merchant sales daily - Main point of contact for Off Campus Merchants - Daily Reconciliation of Customer Service office (twice per week or as needed) - Maintain supply inventory and order supplies and equipment as needed through eVA - Participate in Orientation and beginning of semester registration - Coordinate and prepare all travel related authorizations and arrangements for staff - Submit staff reimbursements in Chrome River Madison Print Services - Place orders in eVA for production equipment - Assist with Print Services annual inventory Mail Services - Process monthly billing – Process vendor invoices for payment - Track yearly spend for contracted services |
Qualifications | Required: - Strong organizational skills - Excellent attention to detail - Exceptional communication skills - Excellent customer service skills - Computer experience with proficiency in Microsoft office, particularly Excel - General understanding of accounting procedures - Ability to prioritize tasks - Ability to work independently and as part of a team - Ability to work in a fast paced environment Additional Considerations: - Knowledge of CS Gold System - Knowledge of PeopleSoft – Finance and Student Administration |

Annual Security and Annual Fire Safety Report | Notice of Availability – Annual Security and Fire Safety Report The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
