Job Description
Provides support to the fiscal, customer service, and procurement functions of Ohio State University Extension Publishing. Maintains records on purchasing and general ledger transactions in the Extension Publishing store software (which is different from OSU's general ledger software). Conducts general ledger and reconciliation activities. Maintains fiscal transaction records and files.
Manages customer accounts, sends invoices, applies payments, calculates accounts receivable, shops for and purchases product inputs, pays for services, documents and assigns costs to products, etc.
Provides information on OSU fiscal policies, procedures, and programs to staff in the unit.
Provides procurement, sales, and other general ledger reports on metrics and other information to unit assistant director and fiscal officer. Works with software vendors (Big Commerce, Bright Pearl, and ShipStation) to ensure accurate reporting mechanisms.
Supports monthly and annual general ledger reconciliation process by generating source documents such as sales and AR.
Resolves issues with procurement transactions including interactions with suppliers and/or central offices and issues with customer transactions such as accounts receivable.
Consults with employees on appropriate procurement methods.
Serves as a point of contact for fiscal and procurement matters for unit and fiscal officer, including management of unit p-card and reconciliation of statements.
Serves as backup for customer service inquiries via email and phone. Routinely monitors customer service inquiries and activity.
Supports Learning Lab Kit product line by monitoring inventory, responding to customer orders for replacement parts, and leading physical inventory.
Performs other administrative and support duties.

This person in this position works closely and is in daily contact with other members of the Extension Publishing team. It is based in the Extension Publishing office on the Columbus campus. However, hybrid agreements may be approved based on the following: A person in this position is expected to be on the Columbus campus at least 1 working day each week and involved in meetings in other locations an additional 5 to 10 working days each year. The frequency, pattern, and choice of days for hybrid work schedules may vary based on the policies of the organization and the roles and responsibilities of different employees. The ideal mix of hybrid and in-office work is determined by the assistant director of Extension Publishing.

Required Qualifications and Experience

  • Ability to organize and prioritize workload with exceptional time management and administrative skills. Ability to work independently as well as part of a team.
  • Demonstrated excellent customer service and verbal and written communication skills. Proficiency with MS Office, demonstrated advanced use of Excel, and demonstrated willingness to learn new software.
  • Knowledge of accounting principles and at least two years of experience working as the fiscal support person for a team.
  • Demonstrated ability to prioritize and meet deadlines deadlines for multiple projects.
  • Adept at content management and project management programs and systems.
  • Demonstrated ability to work independently, collaboratively, and creatively with colleagues.

Desired Qualifications and Experience

  • Four or more years of fiscal/procurement functions.
  • Demonstrated experience with The Ohio State university's Workday system.
  • Knowledge of procurement standards within The Ohio State University.

The pay range for this job profile is $18.61 - $24.81/hourly. The offer for this position will be based on internal equity, unit's available budget, and the candidate's qualifications.
