The Adams Centerinvites applications for a Fiscal and Personnel Services Manager to oversee the daily financial and personnel operations of the department including payroll, account reconciliation, financial statement compilation, event settlements, department-wide purchasing card reconciliation, annual budget preparation and staff assistance to the General Manager.This position also provides administrative support in a professional university-based office, including front line exceptional customer service to visitors, customers, clients, and campus departments.It is expected that you are proficient with money handling, purchasing, accounts payable, accounts receivable, reconciliation, financial analysis, invoicing, auditing, settlement development and resolving financial disputes. You will be the primary liaison between the Adams Center and Human Resource Services. You must understand labor laws, hiring and firing practices and union collective bargaining agreements. This position functions within the management team of the Adams Center, under Intercollegiate Athletics.

The Fiscal and Personnel Services Manager acts as a contact and building liaison for a wide variety of organizations and departments.

  • Adams Center Ticket Office: collaboratively work to develop reports, ticketing audits, event invoices and deposit information
  • Intercollegiate Athletics: provide financial information regarding building rent, custodial, ticketing and event services, assist with annual budget preparation
  • UM Business Services: monitor UMDW, Griz Mart and Banner reporting functions, reconcile Procard credit cards and Banner index reports
  • UM Budget Office: develop and monitor annual budget reports
  • Human Resource Services: serve as department payroll administrator and administer personnel policies and rules
  • Event promoters and rental clients: provide settlement and invoice information, collect and distribute ticket monies
  • Other contacts include the Missoula Public School District, Montana High School Association and local businesses and organizations

You will be responsible for the management and supervision of one classified staff member, temporary employees, and will share functional supervision of an additional staff member. 


Required Skills
  • Basic understanding of university accounting procedures
  • Skill using personal computers and a variety of software packages
  • Experience working with financial reporting programs
  • Knowledge of budget development, implementation and oversight
  • Past experience using data and reports to analyze and make sound decisions and recommendations
  • Experience producing business related event documentation
  • Proper knowledge and understanding of cash handling procedures
  • An understanding of university, state and federal labor laws
  • Knowledge of university recruitment, hiring and termination practices
  • Knowledge of university payroll procedures and policies
  • Ability to adhere to union collective bargaining agreements
  • Ability to communicate clearly, effectively and professionally, orally and in writing; good listening and perception skills
  • Exude enthusiasm and have a high level of integrity and customer service skills while interacting with a wide range of individuals and personalities
  • Maintain composure while under the stress, pressure and time sensitive demands of the job
  • Manage difficult situations appropriately and professionally, and exhibit conflict resolution and/or mediation skills
  • Demonstrate effective researching and problem-solving skills
  • Consistently exercise initiative and good judgement
  • Have excellent attention to detail, accuracy and timeliness
  • Maintain thorough records along with confidentiality of information
  • Effective organizational skills with the ability to handle multiple tasks at one time

Minimum Required Experience
  • Bachelor’s degree in Accounting or Business Administration and minimum of three (3) years of experience in a fiscal-related position OR an equivalent combination of related education and experience

Preferred Qualifications
  • A Bachelor’s degree in Accounting or Business Administration OR three (3) years of experience working in a university setting in fiscal operations and human resources
  • Professional experience in a university setting with familiarity of live entertainment and athletics operations

Work Schedule:          Full-time, 1.0 FTE (40 Hours a week),

     Monday through Friday 8:00 am to 5:00 pm, 12 months/year

     may be required to work some events, evenings, weekends and holidays

Salary:                          $24.433/hr.

Union Affiliation:         FOCUS-MFPE

Probationary Period:  Six months minimum
