Job Summary

This full-time, career position is based on the UC Davis Campus. Incumbent will provide fulltime, onsite support for the research and finance functions of the Department of Public Health Sciences (PHS). The Research Support Unit provides analytical support for all stages of contract and grants management from the pre-award proposal submission, receipt and setup of awards, post-award implementation and financial support, to the closeout of awards. The incumbent is expected to utilize initiative, judgment, and discretion. Under minimal supervision, this position is responsible for the analysis, processing, and servicing of a variety of operational and financial transactions and services. Will analyze documentation and perform transactions to ensure adherence with University/UCDH/Public Health Sciences/Extramural Agency’s policies and procedures.

Minimum Qualifications

  • California Driver’s License
  • Recent experience in analysis and processing a high volume of accounting documents.
  • Experience with accounts payable, purchasing, general accounting principles, and accounting databases.
  • Experience in analyzing options and problem solving independently on assigned projects while utilizing available resources to efficiently complete.
  • Excellent organizational and analytical skills to assume general assignments and independently follow through to successful completion.
  • Strong interpersonal, written and oral communication skills to interact tactfully with diplomacy and sensitivity with a diverse group of people both in person, by email, and over the telephone. Must be flexible and have the ability to communicate effectively with team members and work cooperatively with others as well as participate, contribute ideas, set goals, tolerate confusion, and support and implement decisions affecting the group.
  • Demonstrated computer skills utilizing Microsoft Word, Excel, Outlook, and Adobe Acrobat.
  • Excellent mathematical skills to accurately complete assigned budgetary, accounting, and purchasing tasks.
  • Ability to identify potential conflicts and problems, and to propose or develop creative possible solutions.
  • Ability to independently coordinate a variety of tasks and functions; work around frequent interruptions; organize own workload and set changing priorities. Anticipate and provide for schedule changes; work under pressure and deadlines; ability and skill to maintain composure under heavy workloads and conflicting priorities or demands sufficient for effective performance.
  • Ability to work independently with minimal supervision, exercise good judgment and decision-making ability, maintain confidentiality, exercise discretion, and resolve conflicts.
  • Ability to follow through on details, providing all necessary/required background documentation.

Preferred Qualifications

  • Bachelor’s degree in related area and/or equivalent experience/training.
  • Experience with fiscal contracts and grants structure for private, state, and federal agencies preferred.
  • Experience using KFS/Aggie Enterprise preferred.
  • Experience with travel reimbursement processing. Experience using Aggie Travel preferred.
  • Demonstrated skills to interpret policies, procedures, and requirements, and apply to processes and procedures related to research, teaching, the department, school, and university.
  • Demonstrated knowledge of university policy and procedures, especially related to accounting, purchasing, and travel preferred.
  • General knowledge of UCDH and UCD resources.

Department Description

The Department of Public Health Sciences is a large and rapidly growing department in the School of Medicine, with five divisions (Division of Biostatistics, Division of Epidemiology, Division of Health Informatics, Division of Health Policy and Management, and Division of Environmental and Occupational Health). The Department also is the administrative home for a PhD and Master’s in Public Health, Master’s in Health Informatics, and Masters in Advance Clinical Studies professional degree programs. The mission of the Department of Public Health Sciences is to improve the health of people using approaches based in epidemiology, biostatistics, economics, environmental, and behavioral science through research, educational programs, clinical programs, public service, and policy development. The department is home to one of the largest and most complex portfolios of research contracts and grants in the School of Medicine and at UC Davis, with research staff in various locations at UCDMC, Davis Campus, off-campus facilities in Davis and Sacramento, and at additional locations throughout the State. With approximately 300 employees and 35+ full time faculty actively involved with extramural research projects, with a research budget exceeding $50M/year and an approximate department budget of $26M/year, this financial support position is critical to the department.
