Job Summary

This position is in the operations unit for the Department of Internal Medicine, which is based on the UC Davis Health System Sacramento Campus. This position is one part of a unit of 4 Financial Services Analyst IIs and provides a variety of operational and financial transactions and services. Analyze documentation and perform transactions according to policy. Responsible for all accounts receivable transactions, totaling over $9.5 million in contract billing annually. Along with Travel and Entertainment/Reimbursements requests, approximately over 1,500 reports are processed a year, as well as all purchasing/accounts payable order transactions (5,000) for the Department.
This role will serve as an internal specialist on policy and procedure for accounts payable and accounts receivable, purchasing, non-purchase order payments, professional employee reimbursements, contract administration, and travel and entertainment administration. This position will provide financial organization, administration, and analytical support, by running various ad-hoc reports, maintaining Excel spreadsheets, and high-level support to the Supervisor, Operations Finance Manager, and CAO for planning and analysis of fiscal year budget for external sources. This involves the establishment and monitoring of internal and external financial systems, reconciling ledgers, and providing monthly financial updates. Under minimal supervision, this position is responsible for the review of documentation and transactions to ensure adherence to University/UCDH/Internal Medicine policies and procedures.

Minimum Qualifications

  • Several years of previous experience in accounting, business administration, or finance are required.
  • Bachelor’s degree in a related field and/or a combination of experience, education and/or training required.

Financial – Purchasing and Accounts Payable Skills

  • Using established processes and policies to make purchases, including understanding shipping terms, sales tax, and use tax.
  • Knowledge of accounts payable processes in making payments to vendors.
  • Mathematical skills to accomplish accounting and purchasing requirements
  • Ability to learn and interpret policies and procedures to ensure compliance with Department, University, and outside agency requirements.
  • Knowledge of records which need to be maintained and skills sufficient to organize files.

Financial – Contract Management and Accounts Receivable Skills

  • Knowledge of generally accepted accounting principles and University accounting policies.
  • Knowledge of accounts receivable and collection processes.
  • Ability to comprehend complicated instructions and accurately identify and project budget data on contracts.
  • Mathematical skills to accomplish budgetary, accounting requirements, and analysis.
  • Ability to learn and interpret policies and procedures to ensure compliance with Department, University, and outside agency requirements.
  • Knowledge of records that need to be maintained and skills sufficient to organize files.

Financial Computer Experience and Excel Skills

  • Skill to use various computer software such as Microsoft Office Suite, with a focus on using Excel to help organize work from beginning to end and manage daily tasks. Microsoft Excel knowledge required.
  • Demonstrated knowledge in running reports from financial software and organizing the information in a clear and comprehensive report.
  • Demonstrated knowledge of various financial systems to assist with creating accounts receivable invoices and travel and entertainment reports.
  • Using various types of software to organize the workload to maintain a high level of efficiency and effectiveness.

Customer Service Skills

  • Provide excellent service, including responsiveness, support, and understanding of the needs of the staff, faculty, and vendors.
  • Resolve issues until they are satisfactorily completed and anticipate when further action is needed.

Teamwork Skills

  • Ability to work with a team to solve problems and report suggestions for correction to a supervisor or appropriate management level.
  • Excellent interpersonal skills to work as a team member in a self-directed workgroup.
  • Ability to work as a team member to set standards for work quality, quantity, and work habits that apply to the group as a whole.

Communication Skills

  • Ability to effectively and professionally communicate to establish and maintain good rapport with staff, faculty, co-workers, and vendors.
  • Must be able to maintain confidentiality and exercise discretion in all business matters.

Preferred Qualifications

  • Bachelor’s degree in accounting, business administration or finance is preferred
  • Microsoft Excel knowledge, at the intermediate skill level, is preferred.
