Position Focus:

As part of the business office team and reporting to the Associate Director of Operations, the
Financial Assistant 4 delivers a full range of high-level financial support to the Genetics Department at Yale University.  This position is responsible for but not limited to reconciling and analyzing financial statements to ensure compliance with university and other external policies, including the University's monthly financial review guidelines.  Interprets University financial policies and procedures, including international policies to ensure funds are managed proactively. Identifies risks and trends that enable department leadership to make informed decisions. Prepares financial reports in Workday and other platforms.  Assist with quarterly and annual budget preparation for unit managers. Prepare journal entries and accounting adjustments, including the department’s USP billing. Maintain and track invoices for accounts payable and receivable. Responsible for maintaining, updating, and tracking the department’s Moveable Equipment Inventory (MEI), including annual audits. Responsible for updating master spreadsheets for the department, including the ITS/Telecom list.  Prepares purchase requisitions and expense reports. Provides coverage support for administrative team as needed.  May perform other duties as assigned.

During training period position will be required to be on-site Mon- Fri. Then will be hybrid within CT. 


Essential Duties

1. Drafts preliminary financial sections of proposals. 2. Reviews all proposals for accuracy, completeness, and compliance to grantor and University requirements and regulations. 3. Monitors, controls, and maintains financial activity of accounts. Ensures expenditures are posted to proper accounts. Identifies, researches, and corrects questionable expenditures. 4. Serves as the principal source of information on financial policies and procedures and financial activity. 5. Reconciles and analyzes financial statements. Prepares standardized and specialized financial reports and analyses. 6. Oversees and instructs support staff. 7. Oversees the maintenance of financial records and files. 8. Assists with the development and implementation of systems and procedures. 9. May calculate weekly payroll for department staff. 10. Performs clerical functions incidental to accounting activities.


Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level, and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.


Required Skill/Ability 1:

Strong PC skills with good knowledge of MS Excel and Word, Outlook, Power Point, and Adobe.


Required Skill/Ability 2:

Excellent interpersonal skills and the proven ability to work effectively with a diverse group of people with competing needs.  Excellent verbal and written communication skills.


Required Skill/Ability 3:

Demonstrated accuracy and attention to detail is critical.


Required Skill/Ability 4:

Ability to multitask and work under demanding time constraints.  Ability to follow through on assignments with enthusiasm and flexibility, both independently and as a team member.

Preferred Education, Experience and Skills:

Knowledge/experience of Federal and non­ Federal guidelines, Yale University policy and procedures; working knowledge and skills with Materials and Transfers Agreement (MTA), Internal Service Providers, Workday, SciQuest, Financial Management Tools.
