Job Summary

The Financial Analyst (FA) will work under general supervision of the Lead Research Services Analyst (RSA; Research Administrator 4) to track financial activities within the DGIM Academic Office at Mount Zion. The incumbent will track a number of individual faculty accounts, which will include, but not limited to, faculty discretionary funds, private contracts, and small sponsored funds, and is responsible for serving as the faculty’s single point of contact for their accounts and ensuring faculty are provided with quality, efficient, responsive, and responsible financial administration services.

The incumbent will facilitate the process of administering funds for faculty by reconciling expenses against approved budgets, generating projections based on actual expenditures, preparing the fiscal closing reports and final reconciliation of costs, troubleshooting over expenditures and appropriation issues, working with faculty for financial management issues, and other duties as assigned. For each approved/awarded funds, the FA serves as a liaison between the Departments, faculty, fund agency, and other institutions to provide support as needed and ensure effective communication. The incumbent is also expected to provide back-up support to the research administrative team for the management of other sponsored funds.

This incumbent must be knowledgeable of cost accounting standards and have the basic understanding of financial accounting. Additionally, the Financial Analyst will be responsible of assisting with Award Verification, BearBuy, MyExpense, petty cash handling, journals, funding entries, and salary cost transfers for the division.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Department of Medicine (DOM) is the largest department in the School of Medicine (SOM) here at UCSF, with more than 600 full-time faculty. The mission of the Department includes research, teaching, patient care, and public service. The Department has a decentralized organizational structure across four locations (Mission Bay, Parnassus Heights, San Francisco Veterans Affairs Health Care System, and the Zuckerberg San Francisco General) and approximately 38 divisions. UCSF DOM has consistently ranked among the top four departments of medicine in the country. Authority and accountability of the Department rests with the Department Chair (leads Parnassus Heights site) and also directs the Vice Chairs/Chiefs at the SFVAHCS and ZSFG.

The Division of General Internal Medicine (DGIM) is one of the divisions within DOM and SOM. DGIM, one of the larger Divisions in DOM, is home to a spectacular group of faculty, learners, and staff committed to outstanding patient care, research, and education. Required Qualifications

  • Bachelor's degree in related area and 1+ years of administrative experience or related experience; and / or equivalent experience / training.
  • Experience working with financial data and administrative policies and procedures.
  • Working knowledge in cost accounting standards and basic understanding of financial accounting
  • Ability to gather reasonably retrievable information to organize, and perform basic financial analysis assignments.
  • Demonstrated ability to effectively present information verbally and in writing clearly and concisely.
  • Demonstrated ability using spreadsheet and database software for moderately complex financial analysis, fiscal management, and financial reports.
  • Demonstrated ability to handle a variety of tasks with a high degree of accuracy (multitasking) and ability to set priorities when confronted with competing requests. Ability to meet tight deadlines and last minutes requests efficiently and accurately.
  • Ability to take initiative and follow through independently on projects
  • Demonstrated strong interpersonal skills with an emphasis in tact and diplomacy and ability to interact with members from various levels of an organization.
  • Demonstrated strong administrative and organizational skills.
  • Demonstrated record of excellent reliability in attendance and punctuality.

  • Solid knowledge and demonstrated proficiency in using computer systems, software programs of Microsoft Office, especially Excel and PowerPoint.

Preferred Qualifications

  • Knowledge of UCSF systems and administration.
  • Experience working in academic medical setting, understanding best business practices, organizational theory, accounting and finance, and experience working with a diverse population from all level.
  • Working knowledge of finance policies, practices, and systems.
