Summary:
The financial aid representative assists with awarding financial aid to students in accordance with federal, state, and university regulations, policies, and guidelines. The financial aid representative also serves a critical front-facing role to welcome visitors and determine the nature and purpose of Financial Aid guests. Directs and/or escorts campus guests to destination and provides information regarding Financial Aid and Enrollment Management as a whole. Reports students and their family's feedback to the appropriate Financial Aid personnel.
Duties & Responsibilities:

  • Serve as the front-line staff to welcomes visitors to the office of financial aid by determining the nature and purpose of Financial Aid visitors. Directs and/or escorts campus visitors to appropriate destinations. Respond appropriately to a high volume of emails and phone calls from students, prospective students, and families. 
  • Assist with the counseling and advising of undergraduate students regarding financial aid programs, availability, and eligibility. Ensures that financial aid information is being disseminated to prospective, incoming, and current students as appropriate. 
  • Responds to routine inquiries from students and their families to provide or clarify information on Financial Aid policies, procedures, and deadlines. Resolve complaints and refer unresolved grievances to designated personnel for further investigation and review. 
  • Process and track student requirements and documentation and advise students about the process; contact students for additional or missing documentation related to the financial aid process. 
  • Assists with entering, updating, and processing Federal Title IV aid utilizing the Banner Financial Aid Module. 
  • Trains and supervises student workers including maintaining students’ work schedules and assignments. 
  • Reports students and their family’s feedback to the appropriate Financial Aid personnel. Sets appointments for prospective students and their families with Financial Aid staff. 
  • Participates and assists with preparations for financial aid workshops and presentations. 
  • Assist with the review of students’ satisfactory academic progress and help explain the appeals process to students. 
  • Provides filing, scanning and data entry for Banner and Slate, and other financial aid systems as needed. 
  • Assist with scheduling meetings and updates to the financial aid calendar and provide routine data entry and data processing assistance to the Financial Aid staff. 
  • performs other related duties as assigned. 
  • Minimum Qualifications: 
    Any one or combination totaling two (2) years (24 months) from the categories below:
    1. College coursework in any discipline, as measured by the following conversion table or its proportional equivalent:
    -30 semester hours equals one (1) year (12 months)
    -Associate degree (60 semester hours) equals eighteen months (18 months)
    -90 semester hours equals two (2) years (24 months)
    -Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
    2. Work experience performing office, business, or customer/relations activities.

    Preferred Qualifications:
    Experience with Ellucian Banner student financial aid software.
    Experience with Slate student information system.
    Experience in a professional office environment or higher education.

    Knowledge, Skills & Abilities:
    Knowledge of the student application process
    Knowledge of clerical procedures.
    Skill in customer service, and oral and written communication.
    Skill in time management, organizing work assignments, and responding quickly and effectively to challenges.
    Basic knowledge of simple, repetitive office practices and procedures including answering phones, responding to emails, and assisting with walk-in traffic.
    Basic knowledge of Microsoft Office suite (i.e., word processing, spreadsheets, email) and ability to learn other software systems, such as web editing software).
    Ability to accurately input data and keyboard, high level of attention to detail.
    Ability to communicate information and ideas in speaking so others will understand.
    Ability to listen to and understand information and ideas presented through spoken words and sentences.
    Occasional weekend or evening work may be required.
