Job Summary 
Coordinates financial, administrative, and planning activities, such as budget administration and control, recordkeeping, database management, and project management in support of school operations. Supports Director and Associate Director(s) in meeting the operational requirements of the school. May coordinate specified administrative activities and reporting across multiple organizational units within the school.
Primary Duties and Responsibilities  

  • Monitors, reconciles, and assists with fiscal administration for the unit, including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and/or purchasing.  Assists director in the preparation of annual budget requests.
  • Assists in administrative problem solving, program/project planning, development, and execution of unit goals and objectives.  Efforts may include researching information, compiling statistics, and gathering and computing various data; preparing special and/or one-time reports, summaries, or replies to inquiries, selecting relevant data from a variety of sources.
  • Coordinates and completes necessary processes and forms to administer the hiring of unit faculty, staff, student workers and graduate/teaching assistants.  Remains in communication with Human Resources to ensure that new hires are onboarded appropriately. 
  • Prepares and processes all requests for purchases and other expenditures from school accounts, which includes reviewing for availability of funds, communicating with vendors, transmitting approved requests to the appropriate university unit, and monitoring requests through to delivery.
  • Schedules appointments and maintains calendars; schedules, coordinates and facilitates meetings, events, and/or travel arrangements, as required.  Performs a range of diverse administrative activities for the school director and associate director(s); serves as a central point of liaison with other departments and external constituencies in the resolution of day-to-day matters concerning the school.
  • Performs other duties as assigned.

  • Minimum Qualifications  
    Bachelor’s degree and 2 years of related experience; or Associate’s Degree and 4 years of experience directly related to the duties and responsibilities specified (directly related experience can be substituted for education on a year for year basis).
    Knowledge, Skills & Abilities
    • Ability to communicate effectively, both orally and in writing.
    • Ability to gather data, compile information, and prepare reports.
    • Skill in the use of personal computers and related software applications including proficiency in Microsoft Office 365.
    • Database management skills.
    • Knowledge of human resources concepts, practices, policies, and procedures.
    • Ability to analyze and solve problems.
    • Ability to supervise and train assigned staff.
    • Skill in organizing resources and establishing priorities.
    • Demonstrated ability to maintain confidentiality.
    • Ability to make day-to-day operational decisions.
    • Ability to create, compose, and edit written materials.
    • Knowledge of computerized information systems used in financial and/or accounting applications.
    • Knowledge of general accounting principles;

     
    Preferred Qualifications  
    Bachelor’s degree in office administration, accounting, business administration or finance.
