Position Summary
The Fellowships and Special Programming Manager supports the university-wide fellowship programs administered by The Graduate Center to enhance the recruitment and retention of fellows, support special programming and grow alumni engagement to drive Graduate and Professional Education goals in support of the People and Communities pillars of the Here & Next plan.


Job Description

Primary Duties & Responsibilities

Manage administrative and programmatic support for university-wide fellowship programs administered by The Graduate Center.

  • Manage all program event logistics and data tracking (i.e., CRM platform, Slate, etc.) including, but not limited to, on campus and off campus events, travel planning, catering orders, etc. Including several complex and high-visibility events such as the annual Olin Conference (She Leads), Arts & Letters Colloquium, etc.
  • Assist with fellowship engagement and communications (e.g., preparing event materials, contributing to fellowship newsletters and annual reports, etc.).
  • Assist with recruitment activities and outreach, and assists the fellowships orientation, commencement and other events.

Manage student and financial data for university-wide fellowship programs administered by The Graduate Center through regular engagement.

  • Provide fellowship data management support (e.g., tracking fellowship updates and outcomes) including capturing current and alum information, organizing data and coordinating with TGC team and key offices (i.e., Advancement) and assisting with analysis to drive continual improvement with reporting, marketing, programming development, etc.
  • Perform regular audits of stipend allocations to ensure correct disbursement of fellowship funding.
  • Manage fellowships presence on university platforms (e.g., Slate, website, Constant Contact, etc.).

Contribute to TGC programming and events to support programming and grow alumni engagement.

  • Contribute to professional development, Pivot 314 Program and WashU Leads fellowship cohort programming, etc.
  • Implement strategies to increase alumni engagement (e.g., managing the CNX groups (alum engagement platform) and gathering alumni outcome data).

Preferred Qualifications

  • Master’s degree or PhD.
  • Demonstrated project management or program management experience.
  • Demonstrated success managing complex projects with a broad stakeholder community.
  • Experience with graduate fellowships and cohort programs, programming development, and knowledge of graduate education.
  • Detailed knowledge of academic and administrative structure of the University and all its constituent parts.
  • Exceptional written and oral communication skills and ability to develop and deliver visually appealing and engaging presentations.
  • Demonstrated ability to manage resources, timelines and budgets.
  • Strong, energetic, collaborative individual with a deep commitment and passion for advancing successful student outcomes.
  • Exceptional analytical and strategic thinking skills; ability to analyze complex problems, interpret operational needs, and develop integrated creative solutions.
  • Strong strategic thinking and implementation skills.
  • Self‐starter with strong attention to detail; well‐organized with ability to handle multiple projects simultaneously; ability to work independently and as part of a team.


Required Qualifications

Bachelor's degree with three years of related experience or equivalent education and experience.

Salary Range
$49,700.00 - $82,100.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
