The Fannie Angelos Program Coordinator provides program and operational support for the Fannie Angelos Program.  The responsibilities in this position include managing the application process for pre-law applicants, developing student support and crisis intervention plans for all participants and coordinating logistics for all participant programming including travel, book scholarships and summer stipends. Additionally, the Coordinator is responsible for creating and managing data collection and record-keeping instruments, managing financial expenditures, business services processing and allocation of book scholarships, travel and summer stipends.  This position also manages all aspects of event planning, including proposing ideas, serving as the primary point of contact for all participants, and coordination with other University partners. While the person must be able to do assigned work independently, the position also functions as part of a collaborative team to assist where needed for priority work and activities.

Key Responsibilities:

Program Coordination and Student Support

o Manage pre-law application process including coordinating interview schedules for applicants and interviewers. Serves as the point of contact for applicants and interviewers participating in the application process. Responds to all inquiries and confirms receipt of application materials. 

o Conduct regular participant support meetings.

o Provide crisis intervention support for all program participants.

o Facilitate referrals or linking program participants to school and/or other community-based resources.

o Manage pre-law undergraduate student participation in the USM inter-institutional program.

o Collect and maintain all participant data through a comprehensive data management system, including up-to-date and accurate contact and employer information (as appropriate) to inform program evaluation analysis. 

o Makes recommendations for improvements based on program data.

o Assist the Executive Director with budget development.

o Make programming recommendations.

Outreach and Promotion

o Coordinate recruitment and outreach efforts.

o Develop marketing materials and promotional flyers for Fannie Angelos Program events.

o Promote upcoming events and professional development opportunities to students and potential applicants.

o Develop content for and support distribution of a quarterly newsletter.

Event Development, Planning, and Execution

o Propose and develop event ideas.

o Collect detailed information about events and make recommendations.

o Develop partnerships with vendors and serve as the primary point of contact for program events.

o Contact vendors for quotes, including catering.

o Manage all administrative tasks related to events.

o Manage the law school calendar for events and RSVPs, etc.

o Manage updates to website as is appropriate.

o Make internal event requests, such as booking space, set-up, and AV requirements.

o Lead post-mortem for event upon completion.

o Document all event plans in appropriate digital file.

Program Operations and General Law School Support

o Provide fiscal oversight including timely payment of invoices, special check requests and expense account reimbursements.

o Prepare agenda for all Fannie Angelos team and supervisory meetings. 

o Other duties as assigned to ensure the smooth operation of the Fannie Angelos Program. 

o Recruit, hire, train, and supervise any necessary student staff.

o Provide project support to the Associate Dean for Administration and other Law School senior leaders, as needed.

o Assist in commencement, as needed.

o Attend monthly staff meetings.

o Involvement in staff committees – e.g service day, annual staff retreat, staff development.

Required Education and Experience 

Education: Bachelor's degree  

Experience:  Three (3) years of program coordination or related experience specifically working in areas related to student support, higher education or social services. 

Preferred Education and Experience 

Education: Master's in Counseling or Program Administration. 

Experience: 4- 5 years in program management or in the legal field.

Strong attention to detail.  Ability to plan and organize effectively.  Ability to interact with students, faculty, staff and administrators.  Ability to multi-task and work cooperatively with others.  Strong written and oral communication skills.  Ability to problem solve.  Ability to work independently and in potentially stressful situations.  Ability to work with confidential information.  Ability to follow instructions, work with minimal supervision, and manage and complete multiple tasks.  Ability to navigate the University’s operational systems.  Working knowledge of spreadsheet, presentation, and word processing software programs.  Ability to manage complex budgets and grant reporting requirements.
