Overview

Under minimal supervision, the Faculty Assistant in the Department of Politics provides high-level administrative support for a total of 27 faculty who are home-based in Politics and 2 who are jointly-appointed with the University Center for Human Values. The Faculty Assistant must demonstrate a high degree of professionalism in a fast-paced environment, use sound judgment, maintain confidentiality, possess strong organizational skills, pay close attention to detail, and is flexible as demands and priorities change.


Responsibilities
  • Planning and executing a variety of events, including research seminars, colloquium series, receptions, and conferences. This involves monitoring the event budget, reserving rooms, ordering food, arranging travel for speakers and guests, advertising the event, preparing and circulating materials, and troubleshooting problems as they arise. It requires close collaboration with on-campus services like University Scheduling and Dining Services as well as off-campus vendors.
  • Handling all financial transactions that are faculty-related. This includes substantiating faculty credit card expenses in Concur and preparing and submitting transactions in Prime Financials (e.g. paying vendors through requisition/PO). Part of preparing these transactions includes determining the appropriate account to charge and checking the balance that is available, particularly when a faculty member has multiple research funds or sponsored research accounts in coordination with the department financial staff.
  • Coordinating all teaching activities for faculty, which includes preparing and distributing class syllabi, materials, and exams, processing orders for books and articles, assembling and collating materials for course readings, coordinating reserve materials, maintaining course web sites (Canvas), posting discussion papers and assignments, and course sectioning (assigning students to precept sections).
  • Creating and updating web sites for faculty, including program and event websites, which requires knowledge of software like Drupal and Open Scholar.
  • Providing general administrative support, which includes, but is not limited to, serving as a liaison between faculty and students and various administrative offices, maintaining faculty calendars, scheduling meetings, making reservations and arranging travel, proofreading correspondence and letters of recommendation, and formatting and editing other materials created by faculty. Performs additional miscellaneous tasks as necessary.

Qualifications

Essential

  • High school diploma (or GED) is required
  • Minimum of 1-3 years related experience with proven office administration abilities.
  • Strong oral and written communication skills;
  • Must be proactive and demonstrate initiative
  • Work independently;
  • Exercise discretion and maintain confidentiality
  • Be flexible and resourceful; adaptable to changing needs and demands
  • Must have excellent computer skills. Proficiency in Microsoft applications, including Word, Excel and Outlook are required.

Preferred

  • Knowledge of Canvas, Prime Financials, Princeton's Information Warehouse, and the ability to create and maintain web pages is preferred.
  • Bachelor's degree is preferred.
