Working under the direction of the Assistant Provost for Faculty Appointments and Governance, this position provides operational support for the Provost’s Office’s administration of faculty appointments, and supports the College’s Committee on Faculty Appointments and Advisory Committee on Merit. 

 

Primary Position Responsibilities

  • Assist in preparation and organization of materials for Committee on Faculty Appointments (weekly meetings during academic year, chaired by the Provost and staffed by the Assistant Provost for Faculty Appointments and Governance), including retrieving materials from faculty files and verifying that committee has all necessary material available. If requested, attend and take minutes during meetings.

  • Assist with other annual CFA-related projects: administration of sabbatical and professional development leave application process, provision of materials to external evaluators for tenure and promotion cases and redaction of evaluations, preparation of R&P committee vacancies for committee’s review, publication of fall and spring lists of faculty under review, preparation of materials for Board of Trustees, verification of annual conversations, coordinating meetings with other committees or groups, and other projects as assigned. Identify opportunities for process improvements and assist with the implementation of those improvements.

  • Independently manage all Workday-related appointments functions and reporting. Serve as an expert in Workday’s academic appointments functionality, liaising with Library and Technology Services (LTS) to manage leave and appointments-related Workday testing, process changes and twice-annual updates.  

  • Independently manage electronic faculty appointment files in Docuware, with responsibility for ensuring that faculty files contain all relevant information from CFA and Merit Committee processes.

  • Assist electronic maintenance of faculty sabbatical leave eligibility records and prepare annual eligibility reports for department chairs.

  • Work with LTS to arrange access to the student evaluation questionnaire (LERs and SEQs) for chairs, applicable faculty committee members, and Provost’s Office; manage legislated exclusions. Collaborate with Registrar’s office and LTS on LER-related issues and needs.

  • Receive and process unsolicited letters regarding faculty.

  • Staff Advisory Committee on Merit (meetings in spring semester), including scheduling and attending meetings, processing candidates’ materials, organizing materials for committee’s use, and assisting in preparation of candidates’ annual salary letters.

  • Work with LTS team and Faculty Information Specialist on Workday business process improvements around academic appointments and leaves, and other Workday projects as needed.

 

Performance Profile

  • Tracks recurring annual projects and meets deadlines, completing projects accurately and with minimal supervision.

  • Understands merit and faculty appointments-related policies and processes, assisting faculty in navigating the logistical aspects of those processes and identifying matters that should be referred to others.

  • Shares correspondence and information with the CFA, Merit Committee, R&P committees and faculty appropriately, respecting the confidentiality requirements of the CFA and Merit Committee.

  • Works effectively with colleagues within and beyond the Provost’s Office and contributes to special projects as needed.

 

Education Required

  • Bachelor’s degree or equivalent experience.

 

Experience Required

  • Three to five years of experience in a role requiring high-level communication and interpersonal skills, as well as advanced use of technology (Workday or similar Human Capital Management system experience preferred), with a record of completing complex projects independently and with a high level of accuracy. Higher education experience preferred.
