Job Summary

The Faculty Affairs Coordinator within the Office of the Vice President for Academic Affairs and Provost will directly support this mission critical work by supporting the faculty hiring and onboarding processes.
Minimum Education and Experience
Bachelor’s degree and three (3) years of professional level administrative experience.  
Intermediate skills with Microsoft Office applications, Microsoft Teams, and Adobe Acrobat Pro.
Equivalent combination of education and experience may be considered.
Preferred Education and Experience
  • Prior administrative experience in an academic environment
  • Familiarity with faculty affairs administration processes at UT Dallas or other higher education institutions
  • Advanced skills with Microsoft Office applications, Microsoft Teams, and Adobe Acrobat
Essential Duties and Responsibilities
The Faculty Affairs Coordinator will:

  • Assist with receiving documentation for faculty searches and posting announcements; processing requests for appointment letters and fulfilling onboarding requirements
  • Assist with scheduling meetings of faculty search committees with staff members in the Office of Institutional Compliance and the Office of the Provost
  • Work with search coordinators in the schools and with departments within Academic Affairs to ensure all applicants are correctly dispositioned in the applicant tracking system
  • Represent the university in placing outside advertisements for open faculty positions
  • Order criminal background checks for new faculty
  • Create payroll documents for new faculty and rehires (full and part-time)
  • Collect and track faculty documents, including maintaining a document repository
  • Assist in creating and validating faculty data records
  • Assist as needed with New Faculty Orientation
  • Other duties as assigned

Successful candidates will be detail-oriented, have the ability to prioritize work, and interpret University policies. The candidate will exhibit the skills required to communicate effectively, both verbally and in writing, to faculty, colleagues, and prospective employees. Candidate must be professional and considerate when responding to and receiving critiques.
Software programs used frequently to complete the required job responsibilities are Microsoft Office, including Teams, Adobe Pro, Box Oracle PeopleSoft, and PeopleAdmin 7.

Remote Work Notice
A hybrid remote work schedule may be available after in-person training for an appropriate length of time as determined by the supervisor. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required upon employment, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled at any time.
