Duties & Responsibilities
  • Manage documentation and processes for promotion and tenure cases as well as other kinds of reviews, such as retention/third-year reviews, annual performance reviews, and the Post-Tenure Review/Dean’s-Level Audit and other faculty matters. This includes working with candidates to provide all necessary documentation, review documentation and edit as necessary, work with external collaborators for external review letters, as well as submitting and tracking the packets.
  • Provides procedural guidance to faculty, committee chairs, and staff to ensure compliance with faculty affairs processes.
  • Stays informed of university policies, participates in focus groups, and makes recommendations for improving efficiency in alignment with institutional guidelines.
  • Maintains schedules and lists, to include promotion clock delay lists, faculty lists, mandatory promotion schedules, post-tenure audit schedules, and sabbatical schedules.
  • Reviews, interprets, writes, and implements policy changes.
  • Create and maintain pages for PNT to include workbooks, web pages, training guides, policy, and procedures.
  • Coordinates sabbaticals and leaves including related post-sabbatical reporting.
  • Researches data and analyzes it to generate reports for representatives in the Dean's Office.
  • Designs and updates guides including committee charges, dossier preparation guides, electronic system user guides, and timelines with assignments.
  • Work with faculty on the Annual Review by creating the Activity Input forms for each faculty member and working with the review committee to submit reviews.
  • Assure faculty advisors are given appropriate provisioning.
  • Work with visiting scholars on J-1 Visa requests.
  • Submit H-1B Visa applications for newly hired international faculty.
  • Oversee faculty search processes and manage campus visits/itineraries/travel plans for faculty candidates.
  • Oversee faculty meetings, agendas, minutes important for accreditation and other review processes.
  • Coordinates the iSchool's mentoring program to include meetings, connections, and communications.
  • Supports faculty in the submission and nomination of faculty, staff, and students for awards that are internal to the college, opportunities on campus, or disciplinary and scholarly honors.
  • Participates in faculty search committees as needed.
  • General iSchool Administrative Support.
  • Aid the events team with convocation and similar academic events.
  • Support faculty committees in their work as needed.
  • Provides administrative support for the Associate Dean, Faculty Affairs.
  • Support of Faculty on behalf of the Assoc. Dean, Research.
  • Tracks COI and COC matters (e.g., timed reporting, communicating with faculty).
  • Manages weekly iSchool research digest (research news for the faculty/post docs/grad students).
  • Provide administrative support including calendaring and coordinating of complex and large-proposal meetings for faculty and research personnel.
  • Tracks certain administrative processes and documents related to sponsored projects.
  • Engage with alumni and industry partners to explore research opportunities for graduate students and faculty.
  • Aids the events team with research panels, research center events, etc.
  • Manages the research awards program.
  • Tracks and manages signatures/response time for IRB requests for approval.
  • Perform other duties as assigned in support of the Assoc. Dean, Research.

Knowledge, Skills and Abilities:

  • Familiarity with promotion and tenure processes within universities
  • Skills in developing grant search profiles
  • Familiarity with State and Federal Conflict of Interest regulations
  • Familiarity with reporting requirements for Federal and Private funded projects
  • Familiarity with Institutional Review Board processes
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications
  • Experience in overseeing documentation and processes for promotion and tenure, retention reviews, annual assessments, post-tenure audits, and dean-level audits, including coordination with external reviewers and managing the overall review process.
  • Experience in faculty affairs, compliance, and university policies, ensuring up-to-date knowledge and participation in policy improvement initiatives.
  • Experience in critically analyzing, drafting, and revising policies and procedures and creating essential guides, digital resources, and training materials tailored to faculty needs.
  • Experience fostering communication and collaboration among faculty, staff, and students, particularly in coordinating nominations and awards and participating in faculty search committees.
  • Experience in supporting academic events, faculty committees, visa processing, faculty search processes, and managing meetings essential for accreditation and review processes.
