Facilities Operations Coordinator

Position Description

Cold Spring Harbor Laboratory is hiring a Facilities Operations Coordinator.  Reporting to the Facilities Operations Manager, the Facilities Service Coordinator assists with departmental coordination and scheduling of maintenance, repairs, and construction activities as they relate to Engineering, Buildings & Grounds, and Carpentry & Painting services. The Coordinator will also assist with departmental business operations including requisitions, procurement, payroll, budgeting, and accounts payable.  This position will include some reception duties as well as handling work requests, emergency calls, and radio dispatches.


Position Responsibilities

  • Assist the Facilities Operations Manager with day to day management of their respective divisions.
  • Enter electronic requisitions as needed to ensure materials and contractors are available.
  • Assist with the development of standard procedures for Facilities Services as required.
  • Maintain Facilities Work Request & Planned Maintenance System as it relates to Engineering, Building & Grounds and Carpentry & Painting divisions.
  • Track information regarding entering work requests, schedule requests and assist with other miscellaneous questions from Laboratory staff.
  • Communicate maintenance and repair issues to Facilities Operations Managers.
  • Schedule work activities around Meetings & Courses and other Labwide activities.
  • Note projects and other scheduled maintenance on the Front Desk Whiteboard for after-hours personnel to reference.
  • Notify Laboratory Buildings and/or Residential/Guest Housing of planned and/or unplanned maintenance.
  • Coordinate contract services and interface with Procurement and vendors on small projects.
  • Perform field checks of work requests, contractor repairs, building services setup. 
  • Provide/Review weekly time sheets for contract services staff and maintain accurate records.
  • Assist with coordination and scheduling of Laboratory and/or Departmental moves as necessary.
  • Assist with event planning and provide support as required for Laboratory special events.
  • Assist with document preparation, scanning, etc. as required.


Position Requirements

Education – A High School Diploma is Required; A Bachelor’s Degree is Preferred.
 
Experience – Customer service experience helpful.
 
Other – Must have strong computer and organization skills.

  • Must have strong verbal and written communication skills.
  • Ability to work well with others and be a team player.
  • Familiarity with Microsoft Office, Excel and Outlook.
  • Comfortable in a fast-paced work environment.
  • Must be able to effectively self-manage time and prioritize tasks.
  • Must have strong organizational skills with attention to detail.
  • Experience in Engineering, Buildings & Grounds or Carpentry & Painting helpful.
  • Experience managing business operations or with book-keeping helpful.

The hourly rate for this role is $27.15- $32.48.   The salary range and/or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future. When determining a base salary and/or rate, several factors may be considered as applicable (e.g., years of relevant experience, education, credentials, and internal equity).
