The External Program Lead assists in the day-to-day management and support of external rentals, programs, conferences and summer camps year-round, throughout the College. This position serves as the primary point of contact and on-site event manger for external rentals and programs, delivering exceptional customer service, hands on involvement in the set-up and breakdown of the program’s facility needs and ensures proper use, safety and security of the rented space
WHAT YOU WILL DO
- Assists the Coordinator and Associate Director, Business Development with work schedules, assignments to programs and rentals, day-to-day activities associated with external programming and safety and security plans in the event of an emergency
- Serves as the primary contact during assigned external rentals and events. Provides instruction and oversight directly to the clients and resolves any issues that may arise. Plays an integral role in ensuring events start and end on time and adheres to a programming schedule
- Acts as a key holder for various buildings and facilities as needed and ensures proper access to indoor and outdoor areas by clients, groups, and spectators/family members of event participants.
- Responsible for ensuring spaces are set up as needed and in alignment with client requests including but not limited to set up and breakdown of Athletics facility equipment, tables/chairs/tents, etc.
- Responsible for maintaining effective working relationships with the campus community to support programs, especially Residential Life, Facilities, Chartwells and Public Safety (e.g., camp scheduling and situational changes during the camp season)
- Assists with the daily operation of camps, programs, and conferences across the Babson campus as directed
- Delivers exceptional customer service to external rental groups
- Assumes additional responsibilities as required
WHAT EDUCATION AND SKILLS YOU WILL NEED
- Associate’s Degree in related field. At least 1-3 years of experience
- Hepatitis B vaccination and training in compliance with OHSA regulations; must maintain both throughout time in the position
- Experience with registration systems necessary
- Excellent communication and customer service skills
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, Powerpoint)
- Ability to work with ethnically, culturally, and socially diverse students, staff, faculty, and other constituencies
- Envisions and proposes new methods to perform tasks that support ET&A; takes thoughtful risks; and accepts new and ongoing initiatives, objectives, and solutions to gain sought-after results

HOW AND WHERE YOU WILL WORK
- Must be able to work under all weather conditions
- Must be able to work early mornings, evenings and weekends
- Must have had a valid unrestricted U.S. Driver’s License for one year, and maintain throughout employment an insurable (as determined by the College’s insurer’s criteria) or a satisfactory driving record; must successfully complete and pass the College’s vehicle training program within the first 60 days of employment; annual or more frequent review of employee’s driving record based on the College insurer’s criteria; and safety training as required by management
