Job Summary
The Exploration Hub is an endeavor that, as a partnership between Caltech and JPL, aims to enable scientific exploration of the Earth and space and the demonstration of key technologies in support of such exploration and societal benefit. The Hub is focused on remote expeditions from space-based, suborbital, and ground-based platforms. All Hub projects will include significant student participation as well as partnerships with outside entities.
The Executive Director of Operations of the Exploration Hub will provide administrative oversight, execution, and management of the programs and activities of the Hub. These activities include research missions and projects, close collaborations with JPL, development and formation of partnerships within Caltech and with outside entities, financial management, outreach and communications, staff support and development, and program development and assessment. The Executive Director of Operations will be a key member of the leadership team of the Hub, together with the Hub Director, Associate Director, and a variety of Councils. The Executive Director of Operations will report to the Hub Director.
Essential Job Duties
  • Oversee and manage the business operations, administrative activities, and administrative aspects of technical operations and communications of the Hub.
  • Participate in the strategic planning and direction of the Hub, including setting goals and objectives, facilitating partnerships, and engaging in outreach.
  • Develop and manage annual budgets and reporting for the Hub and its programs.
  • Manage the development, implementation, administration, and evaluation of Hub programs.
  • Collaborate with the Director to coordinate programmatic outreach and fundraising efforts.
  • Represent and promote the Hub within Caltech and JPL, to external entities, and to other academic users at conferences, workshops and regional/national meetings, and/or with external constituencies.
  • Oversee the creation and maintenance of calendars of events, seminar series, and all other programs for the Hub, launch announcements and solicitations for programs under the auspices of the Hub, and oversee program progress reporting.
  • Engage with and promote corporate partnerships to develop relationships with the commercial sector that may serve as key partners.
  • Work closely with the Director regarding human resources planning, staffing and scheduling, career development, salary planning, resource allocation, and organizational structure.
  • Develop diverse marketing and networking strategies to support program activities.
  • Oversee the creation and maintenance of up-to-date website content, media relations, social media, events planning, newsletters, publications, and other communications materials.
  • Serve as a key resource for Hub information.
  • Review, prioritize, analyze, and respond to correspondence and inquiries directed to the Hub.
  • Assist Hub Director with proposals for the Hub.
  • Liaison with Caltech Division Offices; serve on Institute committees to represent the Hub as requested/discussed with the Hub Director.
  • Resolve business, administrative, and operational problems or questions brought up by internal and external sources.
  • Take initiative in long-range planning projects to address current and anticipated requirements.
  • Write documentation for annual donor reporting requirements and actively support and steward good relationships with the principal and other donors.
  • Other duties as assigned.

Basic Qualifications
  • Graduate Degree (Master's or higher) in a STEM (Science, Technology, Engineering, or Math) discipline, education, social science, or related field with 5+ years of related work experience or a combination of education and related work experience.
  • At least 5 years of experience managing scientific research and/or training programs in academic or nonprofit institutions, centers, or institutes.
  • Demonstrated outstanding communication and interpersonal relationship skills with administration, faculty, staff, students, and the broader university community.
  • Ability to successfully implement innovative academic research programs and take initiative in program development and evaluation.
  • Strong presentation and writing skills to represent the Hub internally and externally.
  • Must be comfortable with developing and creating organizational and management approaches for a wide variety of situations.
  • Ability to work independently with minimal direction and have demonstrated expertise in organizing and managing multiple projects, with attention to detail and deadlines.
  • Proven management/supervisory experience.
  • A positive attitude, customer focus, and appreciation for the importance of diversity and inclusion are essential to success in this position.

Preferred Qualifications
  • Knowledge of Caltech and/or JPL operations and administrative practices is highly desirable.
