Primary Purpose of Organizational Unit

University Career Services (UCS) provides personalized and innovative career education to empower student success and transformation. Our services include individual career advising, internship and employment search assistance, workshops on career readiness, on-campus interviewing, graduate school preparation, internship and job listings, and occupational information.

Position Summary

This position may be eligible for a hybrid work arrangement that may include a partially remote work location, consistent with System Office policy. UNC Chapel Hill employees are generally required to reside within a reasonable commuting distance of their assigned duty station.

The University Career Services Executive Assistant provides primary administrative support for the Assistant Vice Chancellor for Career Development and the Associate Provost for Student Leadership. The role will provide all facets of administrative support, including but not limited to, preparing or editing correspondence/presentations, attending meetings, managing calendars/schedules and setting appointments, maintaining accurate records/files, making PCard purchases and submitting reconciliations, and managing travel requests/reconciliations. Public interactions with internal and external constituencies are a major component of the position – including responding to inquiries from students, parents, alumni, faculty, staff, employers, and other stakeholders. In coordination with the Operations Team within University Career Services, the Executive Assistant may support the office’s operational needs and/or provide office coverage.

Minimum Education and Experience Requirements

High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

  • Superior organizational skills, with demonstrated ability to work and adapt in a fast-paced environment with competing priorities and deadlines.
  • Ability to navigate ambiguity to achieve projects/tasks.
  • Can gather, interpret, analyze, report, and edit information and data into actionable recommendations, summary reports, and/or PowerPoint presentations.
Preferred Qualifications, Competencies, and Experience
  • Knowledge of the principles and practices of event planning and possesses the ability to coordinate, organize, and evaluate meetings and/or events.
  • Knowledge of and competency with applicable technical platforms and software including career CSM (ex. Handshake, Symplicity, etc.) and donor stewardship systems (ex. Davie).
  • Experience working in a higher education setting with direct contact with students.
  • Strong command of common office management software (Outlook, PowerPoint, Excel, word, etc.).

Campus Security Authority Responsibilities

This position is designated as a Campus Security Authority in accordance with the Clery Act. This position will be required to report Clery crimes to the Clery Compliance Manager and complete annual training about reporting responsibilities.
