The Executive Assistant II performs advanced professional assistance work for the Academic Dean in the Law School. The role requires the ability to establish priorities, work independently, and proceed with objectives without supervision. The ideal candidate maintains high-level interactions with the campus community and assists with highly confidential and critical academic and/or administrative matters.

Required Education & Experience:

  • Bachelors degree or equivalent combination of education and experience.

  • Five years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, and presentation applications.

  • Ability to learn and effectively use other platforms that are more specific to the University.

  • Skill in: composing a variety of correspondence; maintaining confidentiality and handling sensitive matters with discretion and tact; interacting with students, faculty and staff at all levels in a courteous and efficient manner; planning, organizing, prioritizing and executing tasks; and initiating and completing work without instruction.

  • Ability to communicate effectively both orally and in writing.

  • Ability to multi-task and work cooperatively with others.

Preferred Qualifications:

  • Certification: Certified Administrative Professional.

  • Six years administrative experience in a university setting

  • Experience with Concur and Workday systems.

  • Proficient in Microsoft suite products (e.g., Word, Excel, PowerPoint) and Outlook.

Essential Duties/Tasks:

  • Primary Job Duties - Provides executive-level administrative assistance to the Associate Dean of Academic Affairs. Supervises the management of the Associate Dean of Academic Affairs’ calendar, ensures required information is noted on the calendar, all meeting materials, presentations, or appropriate briefings are given to prior to meetings. Sets appointments and helps to manage the Associate Dean of Academic Affairs’ time with faculty, staff and students. Drafts correspondence and coordinates tasks and projects for the Associate Dean of Academic Affairs. Oversees the maintenance of the central files for correspondence and other critical and confidential records. Assures the confidentiality of sensitive correspondence, reports and conversations. Coordinates travel arrangements. Reconciles travel expenses and payment card reports. Prepares academic affairs budget and tracks expenses.

  • Academic Program Support - Assists the Associate Dean of Academic Affairs with planning, coordination, and execution of academic events. Reviews faculty course syllabi to ensure compliance. Serves as liaison for adjunct faculty. Annually updates the student handbook, student orientation notebook and adjunct faculty orientation handbook. Works with web administrator to ensure that academic program pages are up to date.

  • Student Liaison - Sets and maintains student appointments with the Academic Dean in confidential student matters. Serves as case manager for violations of academic standards, student code of conduct and honor code.

  • Global Programs Coordinator - Collects student field trip applications, coordinates students travel arrangements including visas, airfare, hotels, and ground transportation. Keeps up to date on University education abroad procedures and requirements. Assists the Director of Global Programs with projects as assigned.

  • Assistant to Senior Associate Dean - Provides executive-level administrative assistance to the Senior Associate Dean. Supervises the management of the Senior Associate Dean’s calendar, ensures required information is noted on the calendar, all meeting materials, presentations, or appropriate briefings are given to prior to meetings. Sets appointments and helps to manage the Senior Associate Dean’s time with faculty, staff and students. Drafts correspondence and coordinates tasks and projects for the Senior Associate Dean.
