Job Summary: The Executive Assistant II provides complex administrative support for Vice President or position of comparable size, scope, and complexity. Performs complex and non-routine administrative tasks requiring frequent discretion and independent judgement. Acts as liaison of the executive and their office. Drafts and sends communications on executive’s behalf. Manages the office of the executive to include supervision of office staff. Oversees maintenance of all files, records, and reports. Oversee and works on special projects.


Additional Department Summary: The Vice President's Executive Assistant provides confidential high-level administrative support for the Vice President and the Office for Research & Economic Development to ensure the mission and initiatives of the division support the overall mission of the University.

This position facilitates communication between the Vice President and internal/external stakeholders; plans events, including the development of read-ahead (e.g., participant biographies, other pertinent information) documents; drafts and edits various documents (e.g., agendas, memos, reports, presentations); schedules meetings; manages the Vice President's calendar, including all travel preparations and arrangements; and maintains an Office P-Card.


Required Department Minimum Qualifications: Bachelor's degree and at least two years of experience in administrative functions at a research-intensive institution of higher education.


Skills and Knowledge: Skilled in using discretion and independent judgment to make sound decisions balancing facts, priorities, and possible outcomes. Ability to handle frequent interruptions, prioritize tasks, meet deadlines, and maintain confidentiality. Strong organizational and time management skills and attention to detail. Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, web conferencing tools, etc. Skilled in collaborating and communicating to build relationships with individuals at all levels within and external to the University to support division needs. Skilled in interpreting policies and procedures to proactively resolve issues. Skilled in identifying problems, generating ideas for improvement, and recommending or implementing solutions. Skilled in using discretion regarding when to involve the Vice President, when to resolve issues independently, or when to engage others. Advanced written, verbal, and interpersonal communication skills.


Preferred Qualifications: Master’s degree; at least five years of experience in administrative functions at a research-intensive institution of higher education; experience with UA systems, policies, and procedures (e.g., Concur, BuyBama, etc.).
