What you need to know

This position is an evening-based position that works during the academic school year from 3:30 pm to 12:30 am with an hour off for lunch.  The days off with be two consecutive days but may not be Saturday and/or Sunday. Must be able and willing to work evenings, weekends, and special events.

Job Description Summary

The Events Coordinator I, under general supervision, provides central coordination of large events and conferences to include pre- and post-event liaison with clients.


Qualifications

Required Education:

A Bachelor's degree in an applicable field or equivalent combination of education and experience.

Preferred Experience:

Three years’ experience in meeting and conference set-up and related customer service. Two years’ experience in the supervision of others.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications.

  • Ability to multitask and work cooperatively with others.

  • Strong organizational skills and effective verbal and written communication skills.

  • Ability and willingness to work with a team and in a team environment.

  • Ability to lift and/or move tables, chairs and other heavy equipment. 

  • Customer Service Oriented.

Job Responsibilities

Event Support:

  • Plan out the daily setup event schedule and determine set-up requirements, check with Event Coordinators and Event Managers if there are questions, and check rooms for correct setup.

  • Coordinates to make sure staff levels are appropriate for events occurring during the next few weeks and provide an update to the operations manager when staffing levels may need to increase or decrease.

  • Creates a daily plan to manage the setup of events occurring in four buildings and multiple outdoor areas of campus. 

  • Provides a schedule for event team leads, and event technicians, and set up student workers to follow.

  • May function as the events manager for events in the evenings or on weekends. 

  • Executes appropriate risk management procedures to include crowd control measures and coordinates with University Police, Environmental Health and Safety, and other officials to ensure compliance with TAMU and TAMUS regulations and policies.

Supervision:

  • Provide leadership and supervision of event team leads, event technicians, and student workers daily.

  • Monitor buildings and adjacent outside areas during events and during regular times that our facilities are open during the day

  • Responsible for the hiring and training of new student workers and full-time staff in the setup area.

  • Spends a significant amount of time during their work shift interacting with customers at the site of their meetings and events, confirming arrangements and level of satisfaction.

  • Can function as the supervisor on-site and/or building marshal for evacuations and emergency response in conjunction with senior management during the evening and on weekends.

Customer Service:

  • Responsible for meeting customer service needs for University Center & Special Events facilities.

  • Be knowledgeable of the audiovisual and catering needs of events to help ensure successful meetings, conferences, and events.

  • Work closely with the MSC loading dock, Event Services Desk, MSC Information Desk, Custodial Staff, and Maintenance staff throughout their shift.

  • Communicate effectively and efficiently to all levels of the university and department through verbal and written conversations.

  • Performs other duties as assigned.
