JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Event Management Office, as part of the HUB-Robeson Center Department in Student Affairs, manages reservations for meetings and events at the HUB-Robeson Center, and throughout University Park for University departments, Recognized Student Organizations, and non-University clientele.

The Office is seeking applicants for the position of Event Planning Assistant. This position will act as a front-line contact for the HUB-Robeson Center Event Management Office and will be responsible for the scheduling and oversight of a wide variety of events utilizing various applications.  

Job responsibilities include, but are not limited to, working directly with students, University staff, and others to schedule and plan events in the HUB-Robeson Center and throughout University Park.  Reviewing and interpreting University policies regarding campus events to sponsors of scheduled events, receiving and processing requests for space in the HUB-Robeson Center and other designated areas on campus, and proactively following up on tentative reservations to ensure events are confirmed promptly.  Entering data in the reservation system (25live/CollegeNet), running reports, assisting with basic administration of that system, and creating diagrams for events that require it. 

This position will also assist with other responsibilities that fall under the Event Management Office including, but not limited to, student organization program advising and the Information Desk operation.  This also includes assisting with the management of student employees and interns.  The role is a critical part of the reception area and front office operation.  Greeting customers and answering questions from walk-ins, by telephone and email, along with determining appropriate action needed to ensure success, is an important role.

Typically requires a High School diploma or higher plus 2 years of related experience, or an equivalent combination of education and experience. Essential competencies for this job include communication and interpersonal skills together with a strong teamwork commitment; a genuine appreciation for working with diverse audiences; attention to detail; coordination of multiple projects simultaneously, and the ability to multitask to account for shifting priorities and deadlines. Previous customer service experience is preferred. Must have experience with Microsoft Office applications. Experience with 25live/CollegeNet is also desirable but not required. Must be able to maintain a high level of confidentiality, work independently, and be willing to learn new materials and computer programs as needed.

The pay range for this position, including all possible grades is:

$38,300.00 - $55,500.00
