Event Manager for Philanthropy (SAL 7)

Summary:

In October 2024, Berea College will host The Breaking Silence Celebration to dedicate the opening of the Janis Ian Archives. The Event Manager will work with the steering committee and other campus and external strategic partners to bring the life and times of this well-known singer/songwriter through extensive archives and other media to our local community and a global audience. This experienced event manager will plan dynamic and engaging campus wide and virtual events to drive and strengthen our organization’s mission. The ideal candidate is meticulous and organized. They can coordinate multiple moving parts under pressure and handle any last-minute changes or obstacles with minimal disruption. This position will create and submit proposed budgets, create marketing and merchandising plans, plan audio-visual, coordinate facilities management, speaker and guest logistics, safety and security, lodging, catering and dining, participant services, and all other aspects of onsite, virtual and offsite philanthropy events. It may also support other events for leadership.

Minimum Qualifications Required:

Education required to ensure success in this position:
•Bachelor’s Degree in Event Management or Hospitality Management a plus.

Experience required to ensure success in this position: 
•Bachelor’s Degree in Hospitality, Event Management, Business, Marketing, or Event/Project Management
•2-4 years of experience in an event or hospitality environment; supervisory experience preferred.
Special skills, knowledge and abilities:
•Proficiency in Word, PowerPoint, Excel and Trello, Whova or, Monday or other project and event management software.
•Ability to coordinate 500-1000 guests, talent, onsite and offsite teams, and multiple same-day events.

License, certification, or registration necessary: 
• Driver’s license, project management certification or related training

Physical requirements: 
•Ability to navigate campus/public buildings and grounds, drive automobiles, vans and golf carts as needed.
•Lifting 30 pounds
•Ability to travel operate a vehicle, and travel by plane as needed.

Environmental conditions: 
•May work on campus or remote/hybrid as indicated by the supervisor. Must be comfortable in an office environment with interruptions and noise due to frequent visitors, students, staff, and faculty and occasional outdoor events.
•May include travel requirement via vehicle, plane or as indicated. .

Ability to operate the following vehicles or equipment: 
•Ability to use office equipment: computer, phone, provide own cell.
•Valid license to operate vehicles, college vans/cars/carts on a regular basis.

Primary Duties and Responsibilities:

•Conduct planning, negotiation, talent and event management, budgeting, and on-time execution of successful events.
•Develop, recommend, and submit proposed budgets, marketing and merchandising plans, audio-video components, facilities management, speaker and guest logistics, safety and security, participant services, and all other aspects of events.
•Build relationships with vendors and other business partners by researching and contracting with qualified, high-value service providers and nurturing partnerships with other organizations.
•Conceive and assemble creative and innovative event themes and attractions to enhance event experiences.
•Book and inspect banquet, dining, and catering functions, accommodations, meeting facilities, other spaces, and transportation necessary for events.
•Organize event team by working seamlessly with other departments and vendors.
•Create social media content and advertising in collaboration with the Marketing Team.
•Coordinate the Event Steering Committee.
•Administer and manage the ticketing process, delivery.
•Maintain accurate records and CRM entries.
•Create and execute pre- and post-event plan.
