Overview
The Gender and Sexuality Studies (GSS) program is seeking an experienced and skilled Event and Communications Specialist (ECS). The person selected for this position will be responsible for many aspects of the Programâ™s events and communication. Additionally, the ECS will have key responsibilities that contribute directly to the Programâ™s successful day-to-day operations.
The Event and Communications Specialist reports directly to the Program Manager and works closely with the Program Director, the Director of Undergraduate Studies, the Director of Graduate Studies, and Graduate Student Leaders.
This is a permanent, 12-month position working during the academic year. Candidates must be willing and able to adjust their schedule to accommodate evening hours for special events determined well in advance. Overview
An essential component of GSSâ™s work is the many events that highlight the scholarship of GSSâ™s community and engage with the university at large.
GSS seeks a highly organized individual to plan and execute the Programâ™s signature events, most notably the Meredith Miller Lecture and the Works-in-Progress series. In addition, the Event and Communications Specialist will oversee GSSâ™s one-time special events, workshops, and seminars, working closely with GSSâ™s faculty, visitors, and graduate students. This individual serves as the primary administrator for the Programâ™s weekly gatherings for the Graduate Student Working Group and the Disabilities Studies Working Group. Additionally, the Event and Communications Specialist will maintain and update the Programâ™s overarching calendar.
In addition to events management, the Event and Communications Specialist will produce and oversee GSSâ™s communications for an external audience. They will write and publicize stories, interviews, and event recaps for a broad audience. Specific projects will include producing the GSSâ™s Annual Report, writing and posting news items, and compiling the Programâ™s weekly digital newsletter (featuring upcoming events).
Responsibilities
Event Management:
⢠Plan and execute the Works-in-Progress series and the Meredith Miller Lecture, organize and coordinate lectures, receptions, and dinners, and produce annual reports for the Meredith Miller University Advancement files.
⢠Oversee all logistics for special events, workshops, and seminars, including creating planning budgets and facilitating room bookings, travel, catering, advertising, and technology set-up.
⢠Administer GSSâ™s other weekly/recurring gatherings (oversee logistics such as advertising, catering, and tech).
Communications:
⢠Compile and send GSSâ™s weekly newsletter.
⢠Design, edit, and produce print publications, including the Programâ™s Annual Report.
⢠Design and send digital event announcements in Constant Contact.
⢠Write news items and post them to GSS's website and social media.
⢠Write and publicize stories, interviews, and event recaps for a broad audience.
⢠Write faculty and student news items and post them on GSSâ™s website.
Administration:
⢠Maintain Programâ™s email listservs, updating yearly and on an as-needed basis.
⢠Maintain a Program-wide calendar with a high degree of attention to detail.
⢠Assist GSSâ™s Program Manager, Director, and other team members.
Qualifications
Required:
⢠A Bachelor's degree.
⢠Successful track record of managing special events.
⢠Excellent writing and copy-editing skills.
⢠Ability to multitask and work independently with careful attention to detail.
⢠Demonstrated ability to communicate effectively (written and orally).
⢠The person in this position interacts directly with many accomplished academics from Princeton and other universities and will be expected to uphold the Programâ™s reputation of excellence consistently.
Preferred:
⢠Familiarity/comfort with Constant Contact or similar email platforms.
⢠2-4 years of related experience in events or related administrative work.
⢠Knowledge of PeopleSoft, PRIME, Concur, and all Microsoft Office applications.
⢠The ideal candidate will have a background in communications or marketing.
