Job Description:

The Enrollment Event Coordinator will be responsible for developing operational strategy and oversight for all recruitment events and programs hosted by the Division of Enrollment, Marketing and Communication. Effectively planning, organizing, administering and delivering recruitment events in an effort to showcase the impact of a Bellarmine education. Reporting to the Manager of Campus Visits, the Enrollment Event Coordinator be responsible for events for all prospective student types, graduate, non-traditional and first-year students. The events can include virtual informational sessions, on-campus open houses, orientations, large group visits and conferences.  

Primary Responsibilities: 

  • Plan and execute on campus and off campus events and programming;
  • Reserving space, finding venues, intercampus communication with catering, technology support and facilities management;
  • Working with relevant departments to execute all details for events, including faculty, staff and community members;
  • Managing relationships with vendors;
  • Planning timelines and setting events organizational calendar in advance;
  • Mange the event budgets, projections and evaluations for all events and sessions;
  • Work directly with Enrollment Communication and Marketing to develop event marketing, promotional materials and develop timelines for invitations, internal and external;
  • Oversee the student ambassador program and other student organizations that support events. 

Secondary Responsibilities: 

  • Present information to prospective students visiting campus;
  • Coordinate individual visits and manage tour guides as needed, when Manager of Campus Visits needs support;
  • Assist with travel arrangements for Division, as needed;
  • Assist with the selection, training, scheduling of student support;
  • Maintain campus visit managed spaces, including Welcome Center, meeting rooms and visit showrooms. 


Requirements:

  • Bachelor's degree 
  • Two to three years of experience in events management with a proven track record of successful planning and programming;
  • Ability to perform multiple tasks in a dynamic environment;
  • Proficiency in Microsoft PowerPoint, Excel and Word required;
  • Ability to supervise students;  
  • Ability to work effectively in a team environment;
  • Excellent customer service, interpersonal and communication skills;
  • High level of initiative and exceptional problem-solves skills with ability to provide creative solutions and utilize diplomatic skills with minimal supervision;
  • Must have evening and weekend availability for events and programs; 
  • Ability to work accurately and efficiently and keep track of numerous projects simultaneously;
  • Must be detailed oriented.   

Preferred Qualifications:  

  • Experience in higher education and enrollment/admission;
  • Experience working within a CRM system.
