The University System of Georgia (USG) is comprised of 26 higher education institutions as well as the University System Office (USO). Within the USO, our administrative operations are primarily housed in the Trinity Washington Building located in downtown Atlanta. Our Information Technology Services (ITS) division is located in Athens. The University System of Georgia Shared Services Center (SSC) is located in Sandersville. The Georgia Public Library System is located in Atlanta. The Georgia Archives is located in Morrow. The State of Georgia Records Center is located in Austell.

The Documentation & Stakeholder Engagement Specialist is a non-exempt full-time position that reports to the Service Delivery Manager at the University System of Georgia (USG) Shared Services Center (SSC). This position is responsible for the implementation of internal and/or external communications to support stakeholder engagement and coordinating consistent messaging, communications procedures, and programs that effectively support and advance USG SSC initiatives, reputation, and business goals. The position also executes and manages communications plans and strategies, which may include writing and editing, creating presentations, and/or leader talking points. 

Essential Duties and Responsibilities:

  • Creates a comprehensive stakeholder engagement strategy utilizing a variety of communication vehicles, developing creative and effective placement of content within a variety of digital and print mediums including web, intranet, newsletters, social media, print publication and trade journals, etc.
  • Partners with management or subject matter experts to complete writing assignments and acts as the single point of contact to tie engagement plans together to create a clear and compelling narrative for stakeholders. 
  • Thinks critically to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems in the communication and documentation area, which includes regularly evaluating communication channels to determine effectiveness, seeking ways to improve and innovate, and serving as a consultant to other areas of the organization on how to best achieve their communication goals.
  • Consistently looking for ways to improve both Communication and Documentation mediums, policies, and procedures.
  • Fosters strong collaborative working relationships at all levels of the organization, particularly other communication professionals in the organization and areas integral to SSC and USG and builds trust and respect for communications function across the organization.
  • Proactively develops and documents contingency plans around issues management and general preparedness for handling crises or reputational challenges that may arise. 
  • Assists with event planning and implementation for internal and/or external events, consistent with the organization or entity's strategic goals.
  • Works closely with colleagues across other departments to ensure that documentation is completed and submitted according to USG Documentation Standards.
  • Acts as the point of contact for all documentation and communication-related questions.
  • Writes, reviews, and updates Standard Operating Procedures with the help of cross-functional teams.
  • Analyzes all documentation submitted to ensure that templates are utilized appropriately, and the messaging is clear and concise for the audience it is being delivered to.
  • Works with cross-functional teams to maintain new and updated documentation within the Knowledge Base.
  • Prepares and implements project-related communication plans and related status reports for key stakeholders and governance bodies (as appropriate).
  • Assists with preparing and/or editing meeting minutes, presentations, and training.
  • Authors and facilitates project portfolio-related communication upward, outward, and across project teams including project status recommendations for major changes, and technical information. 
  • Prepares required administrative and/or technical project documentation. 
  • Prepares and implements communication plans and related status reports for key stakeholders and governance bodies (as appropriate) to provide project updates.
  • Maintain a consistent, high-quality, customer-focused orientation when developing and supporting services for both internal and external users.
  • Communicate with customers and obtain all required information necessary to determine and address their specific needs.

 

Educational Requirements
Bachelor's Degree in communications, public relations, journalism, English or another related field.
Required Experience
2 years of professional-level work experience creating internal/external communications and documentation.
Proficient command of English.
