I. JOB OVERVIEW


Job Description Summary:
The School of Medicine and Health Sciences (SMHS) Office of Research Administration develops school-wide policies and guidelines, provides training, and directly supports School of Medicine departments, centers, institutes, and business units. SMHS is is seeking a Director, Research Program Administration – Post Award to lead the post award research administration team responsible for supporting faculty with post award management and compliance of research grants and contracts in an efficient manner, with a customer-service focus. You will work collaboratively with faculty from across the academic medical enterprise, the Office of Clinical Research and the central university Office of Sponsored Projects and Grants and Accounting. The Director will report to the Senior Associate Dean for Research and work closely with the SMHS Finance team.
The incumbent is responsible for:
  • Providing leadership and a strategic vision to create a service-oriented culture that promotes excellence, integrity, stewardship, teamwork and continuous improvement.
  • Oversight of operations of the research enterprise to ensure that policies, regulations and procedures are being followed, objectives are being met and the office is run efficiently and effectively across all teams.
  • Directly managing, leading, and supervising staff performing post-award activities for the sponsored projects research portfolio for the academic medical enterprise.
  • Making data-driven decisions, using organizational data to determine trends, and to refine and optimize resource deployment.
  • Manage staff assignments to ensure a balanced workload while still meeting various deadlines and expectations. Mentors staff for professional development.
  • Empower staff to actively resolve conflicts that may arise with PIs and act as a next level of support as needed.
  • Partner with the Office of Clinical Research and central Sponsored Programs and other university offices as necessary and represent the school on various working groups and ad-hoc committees.
  • Management of all post-award tasks such as setting up payroll distributions, requesting subcontracts and working with other participant’s institutions, monitoring award budgets and expenses, preparing award finance reports for PIs, preparing and routing no cost extension requests, preparing exceptions for approval, preparing interim Financial Status reports for sponsors, clearing suspense accounts, reviewing effort reports and facilitating certification processes, preparing final Financial Status Reports for sponsors, and closing out of awards.
  • Understanding and applying federal and university rules to management of effort allocation for individuals compensated whole or in part from federal awards. Applies costing rules and regulations to federally funded projects. Analyzes information and formulates conclusions.
  • Adherence to University and school policies and procedures and implement processes with a focus on efficiency and best practices.
  • Ensures strong levels of customer service to faculty and departments being served.
  • Works with Pre-Award team lead to coordinate inter-team meetings to facilitate collaboration between the pre-award and post-award teams.

Performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 10 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study plus 8 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Advanced expertise in grants and contract administration, as well as research compliance.
  • Strong knowledge of industry standards and/or regulatory requirements.
  • Demonstrates leadership and supervisory, planning, and change.
Typical Hiring Range Commensurate with Experience.
