Job Description:

Overview:  Supervises the student accounts coordinators. Works with students, parents and a variety of campus offices with issues relating to student accounts.  Oversee billing to students and non-student accounts receivable for the College. Creates and maintains process for application of payments to student accounts and timely payments. Customer service through phone, email and in person are important for this position.

Job Duties:

  • Supervise the student account coordinator team
  • Facilitate student billing in order to ensure accurate and timely bills for students and non-students. This includes the set up of annual billing tables and billing types for different students
  • Work closely with Registrar's Office, Financial Aid, Residential Life, Dining Services, Dean of Students Office, Information Technology Services, Academics, Athletics and the International and Off Campus Programs departments in regards to billing.
  • Administer the Augustana Institutional Loan program and the Federal Perkins Loan program
  • Process annual 1098-T tax forms and approve daily banking activities
  • Present student account information at summer orientation for incoming first year cohort
  • Maintain compliance with Regulation Z and Federal Title IV regulations
  • Assist students, parents and others who come to the Business Office area to make payments, ask questions or have other concerns. 
  • Oversee various payment methods including Transact Payment Gateway and Flywire Global Payments for international students
  • Oversee Business Office restrictions, late fees and student communications
  • Manage the Augustana Institutional Loan Program including entrance counseling, general questions, monthly journal entries and loan separations.
  • Manage the Federal Perkins Loan Program including answering questions from borrowers, assigning loans to the Department of Education, completing the annual FISAP.
  • Work with collection agencies and ECSI (loan service provider) for Augustana Institutional Loan and Federal Perkins Loan
  • Oversee weekly refunds to students and parents for credits on student accounts while remaining in compliance with federal and Title IV regulations
  • Help administer the withdrawal process for students that leave the college during a semester
  • Maintain credit card processing information for different offices campus wide
  • Assist with the fiscal year end audit and monthly bank reconciliations
  • Oversee study away programs, off campus music ensembles and athletic group travel as it relates to deposits and billing
  • Other duties as assigned

  • Requirements:

    Education:

    Bachelor's degree in business, accounting, finance or a related field.  M.B.A. or additional education preferred.

    Skills & Experience: 

    • Five or more years of demonstrated experience with basic principles of accounting/bookkeeping and financial practices.
    • Excellent customer service skills and ability to communicate with a wide variety of personalities and communication styles both in person and on the phone.
    • Demonstrated computer skills and a working knowledge of Excel, Word, and the ability to quickly learn the Colleague program and processes.
    • Ability to work with highly confidential information.

    Physical Requirements:  Must be able to lift 15 pounds on a frequent basis.  Also required is the ability to listen, hear, speak, read, write, climb stairs, bend, and stoop.   Must be able to use a telephone and computer to accomplish a variety of job tasks.
