JOB SUMMARY

The Director of Academic Operations & Administrative Support in the Opus College of Business (OCB) provides leadership for academic scheduling, classroom/facilities scheduling, data entry/management, department support, and other key administrative and systems support to ensure high-quality program delivery and student experiences for 2000+ undergraduate and 650+ graduate business students across more than 625 course sections. This position is also responsible for managing a team of four (4) department support staff serving more than 100 full-time and adjunct faculty members across seven (7) academic departments within the college. The director collaborates extensively with the OCB dean’s leadership team, academic department chairs, and academic program directors, while also serving as the primary OCB liaison for several critical University central services offices.

 

 

ESSENTIAL FUNCTIONS

  • Lead development, initial entry, and ongoing maintenance of the Opus undergraduate and graduate academic schedules. Collaborate with the program directors, department chairs, and associate deans to assemble course schedules to effectively serve program needs and forecasted student demand, while meeting faculty utilization and productivity goals. Assists the program directors in monitoring student demand in all OCB programs and suggests schedule revisions when appropriate.  Responsible for the entry and accuracy of all business course section information, part of term calendar details and room scheduling to publish the OCB academic course schedule in all required university enterprise systems by established deadlines. Maintains, adjusts and updates schedule as required during the academic year. Maintain faculty teaching load and course release records for all full-time OCB faculty in collaboration with the associate dean.
  • Supervise four department support coordinators who provide support services for department chairs, full-time and part-time faculty members, and other assigned dept./college projects. Develop clear goals for the direct reports, foster a healthy team culture, encourage professional development opportunities for them, and conduct annual performance reviews.
  • Serve as the primary Opus liaison with the Student Data and Registrar’s office, Office of Academic Scheduling, and other University central service teams.   Coordinate with relevant academic program leadership to ensure timely implementation of approved curricular updates into degree evaluations and other informal information resources (public webpages, OneStThomas resource pages, etc.) to ensure currency, accuracy, and consistency of curricular information and degree requirements. Manage all classroom scheduling needs and processes with university facilities/scheduling office for efficient and equitable space utilization. Work with centralized office (registrar, business office and financial aid) to maintain accurate academic calendars including refund schedules, drop dates, and part-of-term. 
  • Oversee course registration systems for undergraduate and graduate business students.  Ensure system preparedness and necessary section-level data details are entered to result in smooth registration cycles. Coordinate with academic program teams and the university registrar to establish dates, deadlines, and student communications for registration cycles. Provide students with appropriate registration authorizations (including time tickets for OCB Graduate Flex programs)/overrides as necessary and submit approved degree evaluation adjustments as directed.
  • Acts as the primary academic data specialist and program compliance officer. Responsible for the documentation, communication, and enforcement of university, college, and program policies and procedures, ensuring programs meet compliance/accreditation requirements and university data accuracy and privacy standards.  Responsible for academic catalog maintenance, update, and accuracy for the Opus undergraduate and graduate business programs. Works with OCB college and program leadership teams and IDAR to help provide necessary reports and information resources.
  • Direct annual budget for academic operations and faculty support.   
  •  



    Minimum Qualifications

    • A bachelor’s degree in a relevant field
    • Five years of program administration experience to include academic operations experience in a higher education environment

    Preferred Qualifications

    • A master’s degree in a relevant field
    • Substantial experience in academic environment working on registrar and faculty support functions
