Occupational Summary

The Digital Communications Specialist performs work in support of Alumni Engagement (AED) and Development digital communications initiatives, programs, and projects, including newsletters, event invitations, announcements, fundraising solicitations, and engagement campaigns, to name a few. This individual performs hands-on work including quality assurance, final assembly, automation technology overlay, scheduling, and timely delivery of a wide variety of email and SMS/text message formats. The work is performed in close collaboration with Marketing, Communications and Stewardship (MCS) e-communications colleagues to organize projects, to establish priorities, and to execute initiatives, in coordination with overall MCS e-communications priorities.

The ideal candidate will possess a digital marketing background with proven practical experience in assembling professional email communications, organizing recipient lists and related data, and ensuring high quality e-communications are delivered on an ongoing basis. They should be capable of performing in a highly collaborative, fast-paced, team environment.

This position reports to the Executive Director of Marketing and Communications.


Work Performed

Organize and execute day-to-day activities related to e-communications projects and initiatives in discrete account teams

  • Adhere to high-quality, industry standards-based e-communications across all work.
  • Execute scheduling, technology insertions, and delivery of e-communications according to established guidelines.
  • Coordinate efforts with overall MCS e-communications plans.
  • Collaborate with partners to obtain, to organize, and to utilize audience and recipient data.
  • Employ and maintain e-communications technologies such as automation, variable content, response aggregation, data tracking across all work performed.
  • Use project management, approval workflows, and comprehensive planning methods.

Maintain, streamline, and enhance-communications processes.

  • Identify opportunities for e-communications improvements within account teams.
  • Collaborate with MCS digital team colleagues to formulate plans and develop tactics regarding e-communications work.
  • Discover best practices and continuous enhancements to builds, deployment and delivery of e-communications across all digital channels.
  • Stay abreast of field knowledge, including new digital methods, remarketing techniques, etc.


Collaborate with and support Marketing, Communications and Stewardship colleagues and serve as an active member of MCS account teams and the MCS digital team.

  • Collaborate with Assistant Director Digital Communications and e-communications colleagues to coordinate e-communications work of partner teams.
  • Contribute to MCS documentation and training regarding e-communications practices and processes.
  • Ensure work adheres to industry-standard parameters and with best practice approaches.
  • Collaborate in creation of MCS metrics and adhere to best practices.
  • As a member of the digital team, assist in executing cross-channel initiatives, as needed.

Preferred Skills
  • Strong knowledge of e-communications creation, delivery, and monitoring systems 
  • Extensive knowledge of modern HTML and applicable design skills as they relate to design, construction, and delivery of electronic communications. 
  • Understanding of data acquisition techniques as they relate to e-communications channels.
  • Facility with standard graphic design and digital production applications 
  • Ability to organize work within a project management system.
  • Ability to set schedules and manage deadlines effectively. 
  • Ability to work flexibly and collaboratively. 
  • Ability to keep pace with changing digital landscape. 
  • Fluency in both Macintosh and Microsoft Windows environments 
  • Careful attention to detail 
  • Knowledge of educational fundraising, higher education issues, research universities, and Duke University a plus
