Position Details
The Office of Admission at Wesleyan University serves as the hub of activity and the point of first contact for the University’s thousands of prospective students and families. The admission team is responsible for generating, processing, and reviewing ~15,000 first-year and transfer applications, and hosts over 15,000 individual visitors on-campus annually. In addition, the office promotes the University virtually and hosts admission events all around the world.
Reporting to the Manager of Enrollment Operations, the Department Assistant provides administrative support for the Office of Admission’s access initiatives. This includes the processing of travel grant applications, the coordination, and budgetary management of the student/counselor fly-in programs for fall open house, WesFest, CBO conferences, and other events. This position also provides administrative support for admission office operations and application processing functions.
Responsibilities include:
  • Managing travel arrangements for visitors, including communication, scheduling, tracking/reporting, and expense reimbursements, and providing administrative support and programming assistance for the events.
  • Provide administrative support for the Director of Admission, including various admission application functions such as scanning, data entry, communication with applicants, and travel expense reporting.
  • Provide administrative support for Admission deans and committees as needed during the applicant selection and review process.
  • Serve as the point person for processing COF (Certification of Finances) and I-20 forms for international applicants and liaison with the Office of International Student Affairs.
  • Perform clerical duties that include management of the international email account, processing incoming/outgoing mail, email, and other communications, and phone support.
  • Coordinate the processing and review of final high school transcripts and other related scores/reports as necessary.
  • Assist with open positions by organizing and scheduling candidate interviews as needed.
  • Perform other duties and coverage as assigned.

This is an on-campus position.
This position is in the secretarial/clerical bargaining union. This position works 35 hours per week for 52 weeks per year for a total of 1820 hours per year.
Minimum Qualifications
Associate’s Degree and four years of related experience or an equivalent combination of education, training, and experience.
Excellent communication and interpersonal skills, incorporating sensitivity and sound judgment. Ability to liaise effectively with faculty, students, parents and other university personnel.
Demonstrated proficiency in Microsoft Office products including Word & Excel.
Proven ability to manage multiple tasks with attention to detail.
Demonstrated commitment to work within a diverse environment and interact collegially with individuals of different backgrounds.

Preferred Qualifications
Familiarity or ability to learn a Client Relationship Management (CRM) system.
Previous experience in an academic setting.
Experience in admission and data-generation, running queries, and responding to ad hoc data requests.
