HERE IS WHAT YOU WILL DO

The Customer Service Representative II will support the Office of Academic Assistance at the Robinson College of Business. This position handles reception duties, including greeting visitors and answering four phone lines. The job involves making appointments for five academic advisors, keeping applicant and student records, and investigating and answering customers’ questions, general to complex, regarding the Robinson College of Business status. The ideal candidate must be able to set priorities and provide friendly, courteous, and accurate customer service in a fast-paced environment without close supervision.

Key duties include, but are not limited to:

  • Provide in-depth customer service to customers seeking general and complex information regarding the University and the Robinson College of Business, providing basic information about regulations, policies, and procedures to callers and visitors.
  • Check-in students with EAB check-in software.
  • Schedule appointments for undergraduate and graduate academic advisors
  • Coordinate phone traffic for the office.
  •  Coordinate the petition process to include data tracking.
  • Inventory and maintain forms related to academic advising as necessary.
  • Take minutes at staff meetings.
  • Coordinate morning and afternoon mail; send out to designated mailboxes.
  • Create monthly reports to include monthly traffic to the office, petitions, phone, and academic forms.
  • Assist with any special projects.
  • Provide other duties as assigned.

USG Retirement Options

  • Optional Retirement Plan -- ORP is a 401(a) Defined Contribution Plan. Employees contribute 6%, and USG contributes 9.24% to the plan. Employees are immediately vested.
  • Teacher Retirement System -- TRS is a Defined Benefit Plan, a traditional public pension plan. Employees contribute 6%, and USG contributes 19.81% to the plan. Your retirement benefit is calculated by factoring in years of service, final salary, and a 2% multiplier. Employees are vested after 10 years.

Qualifications

: 

Minimum Requirements:

  • High school diploma or GED and two years of customer service, administrative, or office experience or a combination of education and related experience.

Preferred Qualifications:

  • Associate’s degree and two years of related experience.
  • Experience scheduling meetings for multiple calendars, ordering supplies for a large department, reconciling statements, and taking meeting minutes.
  • Previous experience working with student retention programs is a plus.
  • Intermediate experience with Word and Excel.
  • Excellent written and verbal communication.
