The Customer Service Associate II Small Animal Anesthesia Liaison, under supervision, assists in the provision of clinical support for the anesthesia services. Provides professional, courteous, exceptional customer service while assisting in patient flow, and hospital aesthetics.

Other Requirements or Other Factors: Persons in this position are considered essential when the University declares an emergency, campus closure, class cancellations, etc., and are therefore required to report to work and remain on duty unless/until relieved by the direct supervisor. May be required to working alternate shifts, some overtime, holidays, weekends, or on-call duty. These duties are performed under the supervision of clinicians or an Anesthesia Technician. Arrives in a timely manner to work each day.

Required Education and Experience:

  • High school diploma or equivalent combination of education and experience.

  • Three years in general office or clerical work.

Required Knowledge, Skills, and Abilities:

  • Basic computer skills in word processing, spreadsheets, and database applications.

  • Strong verbal and written communication skills.

  • Strong customer service skills and detail oriented.

  • Ability to multitask and work cooperatively with others.

Preferred Qualifications:

  • Associate's degree in veterinary technology, biomedical science, animal science, or a related area.

  • Specialty training in anesthesia or related area.

  • Five years of office management in the veterinary or medical field.

  • LVT, Veterinary Technician Specialist (VTS) in Academy of Veterinary Technician Anesthetists (AVTA), or Academy of Veterinary Emergency and Critical Care Technicians (AVECCT).

  • Advanced computer skills in word processing, spreadsheets, and electronic medical record and charge entry.

  • Advanced knowledge of terms routinely used in veterinary anesthesia and imaging.

Responsibilities:

  • Service Coordination: Coordinates anesthesia scheduling for small animal anesthesia service. Maintains and updates all service requests in the scheduling system. Informs clinicians or other services regarding case updates. Reviews and prints anesthesia requests and ensure paperwork is completed by the appropriate staff, student, or faculty. Reviews the next-day schedule and obtain cases and times for procedures. Informs supervisor and senior clinician of any concerns. Independently recognizes, interprets, and evaluates situations and their level of urgency. Investigates and researches concerns and participate in resolving problems. Assists with the orientation and training of other employees and students. Assists with acquiring all proper forms and treatment approvals are obtained.

  • Service Communication: Accurately communicates information regarding the schedule and staffing resources with the supervisor, clinician, and other related services. Answers phones and e-mails, takes messages, and relays information clearly and promptly. Consistently communicates with team members and other services concerning changes in their assignments. Maintains communication with the OR board runner. Facilitates team members receiving meal breaks and verifies that time lengths are adhered to. Serves as a point person for communicating with other departments to facilitate daily operations. Acts as a liaison between the anesthesia service area and other units.

  • Clerical Support and Record Management: Confirms all on-call schedules are accurate and posted appropriately and promptly. Compiles data to prepare correspondence, forms, reports, or other documents. Collects tracking information to ensure duties are completed by team members in a timely and efficient manner. Helps coordinate consultation and/or direct involvement with patient care by other services. Scans in medical records into the electronic medical record. Audits charges, ensuring they are captured and correctly entered into the medical record. Takes accurate and comprehensive notes at meetings. Documents all appropriate information in the correct systems, databases, etc.

  • Maintain safe, clean, sanitary work environment: Manages inventory and place orders as required. Restocks supplies. Provides best practices for infectious disease control and sanitation activities to ensure a consistently clean working environment. Helps provide oversight for faculty, staff, and students in the service area-specific safety procedures. Uses proper PPE and follows safety guidelines when handling soiled/infectious items. Follows VMTH infection control policies. Performs daily, weekly, and periodic cleaning of the anesthesia area.

  • Required Training, compliance, and administrative procedure: Remains current with safety classes, rabies prophylaxis, and Licensure Radiation/MRI safety, Infection Control etc. Maintains and remains current with all required trainings by Texas A&M and VMTH. Follows all Texas A&M and VMTH policies and procedures. Maintains certification or licensure where appropriate. Enters all time and leave requests to the direct supervisor promptly. Communicates via various media throughout the shift (ex: text, Microsoft Teams, GroupMe, e-mail, etc). Assists in revising and preparing policies. Assists in maintaining compliance for AAHA/AVMA/IACUC/AALAC/USDA surveys. Performs other duties as assigned.
