We have an outstanding opportunity for a CRS Project Manager .

Reporting to the Director for ERM and Program Operations, the CRS Project Manager provides critical project management, and critical program evaluation and improvement support for Compliance and Risk Services (CRS), with a focus on; 1. the Enterprise Risk Management program in Risk Management; 2. the Office of Public Records in Risk Management and; 3. data and information in Compliance Services with a significant focus on Public Records. The CRS Project Manager will support the ERM Director and other CRS executives through the full lifecycle of enterprise-wide projects from planning, design, execution, and evaluation.

The CRS Project Manager also provides coordination of strategic communications, including consultative design and project oversight for the Vice President of Compliance and Risk Services, creating specialized presentations for the Board of Regents, executive and senior leaders, and others as necessary or appropriate. This requires involvement with project leaders and executives for data analysis, data visualization, and program evaluation where needed.

The CRS Project Manager will also provide as-needed support to our Hearing Office. This includes creating and reviewing documents for the Hearing Officer including Agency Records, providing administrative support at official hearings and managing confidential communications with witnesses and parties.

This position requires the ability to maintain confidentiality, build positive relationships and partnerships between units, and collaborate effectively with Executive-level leadership. The CRS Project Manager must be able to work independently and take initiative to prioritize and accomplish a broad volume of work. This position also requires advanced technical knowledge of Adobe Creative Suite applications and Microsoft 365 programs. In addition, the position requires understanding of the Washington State Public Records Act and working knowledge of records management and analysis.

This position has unit and University-wide visibility and responsibility for performing and managing professional-level projects, logistical, and task-based functions that are essential to the responsibilities, projects, and operations of Compliance and Risk Services, the Executive Compliance and Risk Officer, the Executive Directors, Compliance Services, Risk Management and programs reporting to the Executive Directors.

Duties & Responsibilities

70% Strategic Project Planning & Implementation

Lead strategic project and program planning for the Enterprise Risk Management program as assigned by the ERM Director;

Manage projects for CRS initiatives with a focus on Public Records compliance as it relates to claims and discovery for Risk Management litigation claims with a focus on loss control efforts;

Develop data reporting and analysis in collaboration with the Public Records Office for Compliance Services as it relates to Public Records requests and claims

Conduct oversight of ERM/CRS project timelines and benchmarks as assigned by the Vice President of CRS

Advise, manage and contribute regularly to multiple teams across the UW and external stakeholders including, but not limited to: UW Medicine compliance teams, the University’s Captive Insurance company, Portage Bay Insurance, agencies of Washington State government, UW Risk Management Committee and Executive Group and others.

Lead assigned efforts in mapping complex University processes and practices in collaboration with colleagues to advance enterprise-wide change management, decision making and continuous improvement processes

In collaboration with the ERM Director and VP of CRS, develop and assess data tracking tools for project analysis and evaluation.

Manage scheduling, coordination, and other logistical support for meetings of project teams, committees, task forces, and other groups.

Co-facilitate small and medium-sized meetings with Executive-level leaders; and other job-related tasks as assigned or included in connection with regular duties.

25% Presentation Design and Data Visualization

Provide consultative and collaborative design services for high-quality audiovisual and multimedia presentations, including consultative design and specialized services for CRS-wide presentations to:

• the Board of Regents and its committees
• executive and senior UW and UW Medicine leaders
• the Board of Directors of the University’s captive insurance company, Portage Bay Insurance
• high-level groups of staff and faculty
• outside groups, including agencies of Washington State government, insurance brokers and consultants
• ERM program committees including the Risk Management Committee and its Executive Group
• CRS’s annual London reinsurance renewal
• Internal staff meetings, and others;

Collaborate with executive level leadership to analyze and create clear and cohesive data visualizations that communicate complex systems and data sets in a digestible format for a wide range of audiences

Provide design consultation and support for CRS programs' annual reports

Maintain website content for Compliance Services programs, in collaboration with CRS Systems and Technology Analysts, departmental leadership, program leaders, and staff, and within established departmental processes and procedures.

Other design-related tasks as assigned or included in connection with regular duties.

5% Ad-hoc support for Hearing Office

On an as-needed basis:

-Create and review documents for official hearings
-Assist with coordination and scheduling for hearings
-Provide additional administrative support to Hearing Officer for live hearings

Requirements include:

• Bachelor's degree
• Four years of accumulated professional experience
• Proven expertise using Microsoft 365 software, in particular the PowerPoint, Excel, and Word programs for document/presentation design and production, to create, revise, and produce a wide variety of work products ranging from presentations to documents to charts, graphs and other financials.
• Expertise in designing and creating multimedia presentations, including audio, video, still photo, and animation components.  Demonstrated ability to effectively utilize the appropriate and/or designated software to create effective and visually compelling work products in a wide variety of formats and output.
• Ability to manage all aspects of projects through completion, including leading meetings, tracking deliverables and deadlines, and ensuring execution, with excellent communication and organizational skills.
• Ability to effectively input, organize and accurately manipulate database and team collaboration software tools and platforms, such as SharePoint to produce value-added data analysis and reporting.
• Demonstrate ability to utilize outstanding oral communication skills
• Excellent written communication skills, with special attention to spelling and grammar
• Understand and can successfully operate in an environment with overlapping policies, procedures, laws, and regulations; understands their interplay and differences, and can work to align departmental efforts successfully within this framework.
• Demonstrate ability to design and execute broad strategy through organization of a complex agenda of efforts that result and with a thorough attention to and addressing of necessary details in content, composition, spelling, grammar, and design.
• Ability to carry out responsibilities effectively, while maintaining a high level of discretion and confidentiality.

• Demonstrate success in creating engaging and visually stimulating graphics, presentations, displays and other collateral materials, which successfully follow design principles.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired:

• Experience in a project management role at the University of Washington or another institution of higher education or similarly large, complex environment
• Project management experience in risk management, compliance, public administration, or a related field.
• Demonstrate success in the design, development and production of high-quality materials through efficient use of software programs such as the Adobe Creative Suite.
