Position Title COORDINATOR/REGIONAL CAMPUS MIDLAND/CMED
Position Summary
Educational program planning: Coordinates medical student activities for CMU College of Medicine Year 3 and 4 students including core clerkships, elective rotations, and other programs at assigned regional campus and across distributed clinical network; elective rotations across a variety of specialties at several medical sites. Plans and coordinates the routine and ad hoc functions to the clerkship curriculum, including didactics, clinical schedules, faculty recruitment and assignments, student orientations and assessment. With the clinical assistant dean and clerkship directors, the coordinator serves as primary point of contact for rotating students and clerkship faculty at assigned regional campus. This position requires a high degree of professionalism, responsiveness, and attention to detail, as well as the ability to handle/process confidential matters appropriately. In addition, the incumbent will have a proven ability to be task and results oriented in handling multiple priorities. Flexibility in evolving work environment, open to collaboration. This position is based in Midland, Michigan with up to two days/week in Saginaw, MI.
Required Qualifications
Associate degree or equivalent of 2 years of administrative experience.
Professional, detail oriented, and highly organized.
Ability to prioritize and complete tasks accurately and on time.
Ability to appropriately handle sensitive, confidential information.
Exceptionally well-developed interpersonal skills with the ability to interact effectively with all levels of personnel within and beyond the College of Medicine.
Conflict resolution and negotiating skills. Ability to cope with stress effectively.
Self-directed and self-motivated.
Possess well-developed written and verbal communication skills.
Problem solving, critical thinking and decision-making skills.
Team-and goal-oriented; ability to work effectively and steadily under pressure in a deadline driven environment.
Computer and software literacy, especially Microsoft Suite (with an emphasis on Excel). Must be proficient in the operation of office equipment.
Preferred Qualifications
Bachelor’s Degree.
Three years experience in medical education setting is preferred.
Familiarity with medical or higher education preferred.
Duties & Responsibilities
Regional Campus Administration:
Works with Clinical Assistant Dean to implement CMED curriculum at regional campus. This includes the scheduling of campus orientation and training sessions, student schedule planning, assignment of student and faculty evaluations.
Functions as the first contact liaison for all questions regarding the assigned Clerkships/Electives from students, faculty, residents, administrators, and other key stakeholders at assigned regional campus.
Ensures faculty, residents, and medical students have the appropriate materials, resources, and information to participate efficiently and effectively in the medical student program.
Monitors student clinical activities at regional campus in adherence to the duty hours policy throughout each rotation and reports any issues or violations to clinical assistant dean.
Coordinates medical student education sessions, including faculty support and set up of videoconferencing equipment.
Serves as liaison between respective clerkship and others in at CMU and educational partners. Understands thoroughly the curricular goals, objectives and policies of the assigned Clerkship, department, and medical school.
Distributes, collects, and tabulates all student assessment forms, and compiles and generates feedback for appropriate follow-up and reporting.
Assists in faculty recruitment for regional campus, including faculty appointment process.
Participates in all Distributed Clinical Education departmental meetings.
Proctors and provides software support for student examinations.
Schedules and coordinates faculty and student involvement in Student Interest Groups (SIGs).
Supports CMED offices and leadership conducting activities at assigned regional medical campuses.
Advises college faculty and leadership on progress, emergent issues, and suggestions for development of the program.
Maintenance of confidential student files and meeting minutes.
Clerkship Administration:
Manages educational data: Disseminates student and course evaluations; collects, organizes, and compiles data from all faculty and resident evaluation forms; calculates final grades utilizing the College of Medicine rotation management system software. Reports evaluation completion metrics on the team dashboard.
Obtains, prepares, and records data for annual review of clerkship programs. Assists assigned clerkship director in preparing and submitting annual clerkship review.
Monitors student encounter and procedure log reports throughout each rotation and escalates issues to the Clerkship Director.
Knowledgeable and remains current with all CMU College of Medicine policies.
Maintains familiarity with LCME requirements and clerkship specific national organizations.
Integrated Community Experience / Initial Clinical Experience (ICE) program support:
Collaborates with the Coordinator of Longitudinal Courses to establish and maintain relationships with community physicians throughout the region.
Coordinates student onboarding and completion of required documentation for ICE participants.
Maintains contact information, capacity, and scheduling preferences for ICE faculty in the specified region.
Elective Administration:
Manages enrollment in elective specialty and subspecialty rotations, including distribution of goals and objectives to the preceptors and students, along with administration of arrangements and requirements necessary for outside rotations.
Responds to inquiries regarding elective placements, capacity, and availability.
Other duties as assigned.
