Job Summary
Provides professional knowledge and management skills in the planning, coordination, and implementation of all phases and activities of the Division for Enterprise Development Safety and Health Program.
Essential Duties and Responsibilities
  • Creates and updates instructor assignment schedule and course location information for open enrollment and contract classes.
  • Selects and assigns suitable instructors for each contract and open enrollment class, manages instructor assignments, qualifications, and schedules ensuring all documentation has been received. 
  • Processes instructor time and travel reimbursements.
  • Ensure instructor flat rates are calculated, documented, and provided to instructors in advance of class. 
  • Create travel authorization requests, provide copies to accounting, and distribute travel approval to instructors.
  • Create and update contract and open enrollment course information in Student Manager database. 
  • Create and distribute weekly course report.
  • Create and process weekly class shipping report and furnish to management and DED Warehouse. 
  • Generate any additional reports as required.
  • Liaise with Host Sites, calculate marketing share for Host Sites, and provide Host Sites with amount to be invoiced.
  • Develop and provide new instructor orientation.
  • Gather documentation and prepare responses to Occupational Safety & Health Administration (OSHA) Office of Training and Education audit requests. 
  • Respond to follow-up inquiries in accordance with OSHA Training Institute Education Center Program Requirements.
  • Create weekly webcast courses in Microsoft Teams.
  • Coordinates other projects and administrative functions for the Program.
  • Other duties as assigned.
Required Qualifications
  • Bachelor’s degree with five (5) years of increasingly responsible related administrative experience, including at least one (1) year of supervisory experience. Equivalent combination of relevant education and experience may be substituted as appropriate. 
  • Proficiency in the specific Essential Duties and Responsibilities listed above. 
  • Excellent verbal, written, and quantitative skills.
  • Professional Excel skills.
Preferred Qualifications
  • Related certifications or other continuing education. 
  • Work experience in higher education, continuing education, or environmental, safety, and health industries.
Knowledge, Skills and Abilities
  • Effecting personnel actions and managing personnel data and records electronically. 
  • Excellent communication, verbal, written, and quantitative skills.
