THE SAINT PAUL SEMINARY SCHOOL OF DIVINTY

The Saint Paul Seminary School of Divinity (SPSSOD) is operated under an affiliation agreement between the University of St. Thomas, the Saint Paul Seminary and the Archdiocese of St. Paul and Minneapolis.  The vision, mission and core values are as follows:

JOB SUMMARY

This position works in collaboration with the Vice Rector of Saint Paul Seminary (SPS) to provide program management, event management, coordination and operational support as delegated by the Vice Rector in accordance with the seminary vision and mission. This includes but is not limited to interfacing with external stakeholders and sending dioceses, managing hospitality for vocations directors, bishops and prospective seminarians, overseeing admission process logistics and recruiting events for prospective seminary applicants, facilitating the coordination and execution of new student orientation, managing dining plan account structure and overseeing logistics related to student services and orientation, student housing and meal plan account management, WellsOne account management as well as domestic and international travel. This position acts as a liaison between the Vice Rector and all staff, faculty and seminarians, the offices of vocation directors for sending dioceses and serves as the Safe Environment Coordinator.

 

ESSENTIAL FUNCTIONS

Office Management

  • Provides executive assistance to the Vice Rector of the Saint Paul Seminary (SPS) involving complex and sensitive information and duties 
  • Ensures the smooth running of the Vice Rector's Office
  • Establishes priorities with daily workflow that meets the needs and mission of SPS
  • Supports daily services for seminarians
  • Works as a first point of contact for executive business involving internal and external partners including university executive leadership, faculty, staff, seminarians, sponsoring bishops, vocation directors, and prospective seminarians
  • Works to create a collaborative and productive work environment by providing support to seminarians, faculty, and staff with requests for assistance
  • Manages information flow in a timely and accurate manner 
    Organizes and maintains office files of highly confidential documents 
  • Maintains current student database and seminary roster 
  • Manages Vice Rector’s calendar as well as multiple Outlook room calendars
  • Arranges department travel plans, flights and accommodations 
  • Reviews and submits monthly credit card statements for Vice Rector and assistant
  • Formats, edits and composes internal and external communications 
  • Provides outstanding hospitality for diocesan and seminarian guests
  • Creates detailed itineraries for visiting vocation directors and bishops including complex meeting schedules and hospitality arrangements for multiple-day visits
  • Receives crosstraining from Administrative Coordinator for Spiritual Formation to assist coordinating spiritual formation retreats when needed
  • Schedules regular 1:1 meetings for Vice Rector’s direct reports
  • Schedules regular 1:1 formation meetings for seminarian formatees
  • Assists with orientation events and schedules meetings for orientation presentors
  • Creates daily dining calendar, manages dining numbers and communicates information to Dining Services
  • Coordinates staff lunches and St. Thomas priest dinners
  • Supports Steubenville Conference Priest Guest Events
  • Supports onboarding and offboarding of SPS employees
  • Carries out such duties and responsibilities as assigned

Admissions Coordination

  • Provides project management of seminary admissions process 
  • Manages complex application process involving correspondence with candidates and their sponsoring diocesan representatives, requesting and tracking document submissions
  • Maintains electronic and paper files
  • Maintains confidentiality while working with sensitive documents
  • Schedules and coordinates timely admissions interviews with admissions committee members, candidates, and applicants’ dioceses
  • Edits, and produces the SPS application and accompanying documents 
  • Distributes hard copies and electronic copies to participating diocese as needed 
  • Establishes effective, positive communication and relationships with applicants and related diocesan administrators as candidates move through the application process
  • Promotes applicants' steady progress through the admissions process 
  • Crosstrains Administrative Coordinator for Spiritual Formation to assist admissions application processing when needed
  • Receives crosstraining from Administrative Coordinator for Spiritual Formation to assist year end seminarian evaluation process when needed

Safe Environment Coordination

  • Maintains accurate records of Essential 3 compliance for lay faculty, staff, and seminarians
  • Corresponds with stakeholders to schedule required background checks, Code of Conduct and required trainings to ensure that all remain in compliance with Archdiocesan regulations
  • Reports data annually to the Rector and the Archdiocese


Minimum Qualifications

  • High school diploma or the equivalent
  • Four years of administrative support experience

Preferred Qualifications

  • Prior experience in a Catholic non-profit
  • Experience in a higher education setting
