JOB SUMMARY

This position is responsible for providing comprehensive support to the music and film undergraduate programs, department chair, faculty and students for the department.

 

ESSENTIAL FUNCTIONS

ADMINISTRATIVE DUTIES 

  • First point of contact and office management
  • Supplies/maintenance requests
  • Respond to departmental inquiries
  • Coordinate office moves/new faculty onboarding
  • Maintain department rosters and Outlook distribution lists
  • Requests for service – various as needed
  • Calendar management
  • Hire and supervise student workers - Provides administrative support to student employees by approving timecards, tracking hours, and requesting door access. Monitors the funding for student employment.

UNDERGRADUATE BUDGET ADMINISTRATION

  • Assist in annual budget preparation
  • Prepare and process payments
  • Contracts
    • Vendors
    • Check requests
    • Wire transfers
    • NBC payments
    • Journal Vouchers
  • Run Cognos budget reports – track expenses
  • Wells One

UNDERGRADUATE MARKETING AND EVENT PLANNING

  • Oversee and update undergraduate Music web pages, including social media pages, with relevant information for current and prospective students
    Creation of undergraduate marketing materials – Canva
  • Submit undergraduate items and news to the St. Thomas Newsroom and other internal and external media
  • Prepare concert programs
    Event planning for department functions and undergraduate events (concerts, juries, recitals, picnics, socials, etc.) – in collaboration with the coordinator III
    • Room reservations
    • Catering
    • Social Tables
    • Coordinate set up and technology needs
    • Assign stage management and live-stream duties as needed
       

UNDERGRADUATE ACADEMIC SCHEDULING

  • Academic scheduling
    • Enter undergraduate courses in Banner
    • Coordinate room assignments
  • Enter faculty adjunct/overload contracts
  • Register undergraduate students for lessons, proficiencies, etc.
    Communicate undergraduate program policy and procedures to students and faculty
    Monitor Decision Support reports
  • Manage Canvas, Qualtrics, and Banner systems for undergraduate administration and assessment results
    Enter faculty load data and run reports

Other duties as assigned.



Minimum Qualifications

  • High School education or the equivalent
  • Three years of administrative support experience

Preferred Qualifications

  • Completion of some college level courses
