Position Summary Information


Primary Purpose
Under the general supervision of the Director, Pacific Health Care Collaborative (PHCC), coordinates activities and meetings related to the Director’s office and provides general administrative support to the Director of PHCC and Director of International Programs (IDS).
Essential Functions
  • Arrange meetings and ensure the Director’s meetings stay on schedule.
  • Monitor Calendar and making sure it stays up to date.
  • Set up teleconferences and videoconferences.
  • Routing and tracking documents for the Director’s signature.
  • First point of contact for visitors and guests.
  • Prepare written communications.
  • Maintain the conference room and adjacent waiting area in a clean and organized manner.
  • Monitor and order office supplies.
  • Process invoices for payment; prepare requisitions and work with the Business Office to prepare purchase order including research information in Banner.
  • Provide coverage for other administrative staff.
  • Maintain a high level of customer service to all internal and external stakeholders. Communicate and maintain an environment consistent with the values of humanism.
  • Maintain complex calendar, prioritizing multiple meetings, events and other appointments.
  • Provide occasional administrative support to the Director of International Programs
  • Perform all other duties as assigned by the Director, or designee.

Minimum Qualifications
  • High School Diploma or GED.
  • Three (3) years of administrative support experience.
Preferred Qualifications
  • Bachelor’s Degree,
  • Knowledge of Banner software.
  • Provide leadership for and oversight of the Director’s Office
  • Maintain confidentiality of materials and information.
  • Demonstrate effective and professional written and verbal communication skills with all constituents.
  • Demonstrate excellent organizational skills and handle multiple projects simultaneously.
  • Demonstrate strong attention to details and accuracy.
  • Exercise independent judgment and discretion.
  • Work independently or as a part of a team.
  • Type minimum of fifty (50) wpm.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.

Work Environment/Work Week/Travel:
Work is primarily performed in a standard office environment. Work performed during standard business hours. Position requires some work during non-business hour to meet business needs.
Hiring Range $19.58 - $23.96 per hour. We consider factors such as, but not limited to, scope and responsibilities of the position, candidate’s qualifications, internal equity, as well as market and organizational considerations when extending an offer.
