Summary

The Department of Otolaryngology is seeking a highly motivated and competent professional to serve as a Coordinator, Business Operations in a team-based clinical office setting with primary responsibilities for providing administrative support to clinical faculty and the clinical operations. The administrative support to faculty includes credentialing, faculty onboarding, document and presentation preparation, assisting with travel and expense reporting, and other academic functions. The administrative support for clinical operations may include supply ordering, vendor relations, routing of phone calls, and assisting with the recruitment and onboarding of faculty. The position requires a person able to work well within a team environment and with a willingness to assist a team member across mission areas when needed. 

 

The successful candidate will have advanced written and verbal communication skills, be regarded as a team player, and possess strong organizational skills. Experience working with Microsoft Office tools (e.g. Word, PowerPoint, Excel), Epic, QGenda (or similar clinical scheduling software/EMR) strongly preferred.  


Job Duties

The Business Operations Coordinator will provide administrative coordination to assigned faculty and advanced practice providers, including but not limited to: 

  • Meeting coordination and presentation.
  • Credentialing and re-credentialing.
  • Travel arrangements and expense management.
  • Purchasing and contract management.
  • Creates work order requests.
  • Asset management and work order management.
  • Maintains Faculty resumes , CV and physician internet profiles.

The Coordinator, Business Operations also:

  • Maintains appropriate contact lists.
  • Coordinates faculty calendars with other coordinators/administrative staff. 
  • Collaborates with affiliate administrative contacts.
  • Serves as point of departmental point of contact for IT/telecom/facilities. 
  • Provides support to education mission as needed.
  • Coordinates special administrative projects. 

Minimum Qualifications
  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications
  • Associates degree, or college level course completion.
  • Previous administrative/executive support experience.
  • Experience in academic healthcare or higher education.
