The Office for Continuous Professional Learning (CPL) seeks an energetic, detail conscious individual, who is interested in honing event-related organizational skills, to join the Conference Services area of our team.
The position of Coordinator, Special Events, provides administrative and logistical support to CPL’s two Events Planners, as well as assistance with general office operations. This position is the initial contact most conference registrants, exhibitors, sponsors and presenters encounter. Responsibilities include, but are not limited to:
• Managing all types of event registrations – including walk-in on the day of an event, receiving and processing registration fees, troubleshooting issues and providing refunds if necessary;
• Attending event planning meetings to offer support and plan logistics as required by the conference committee and assigned CPL Events Planner;
• Ongoing communication with event attendees, sponsors, exhibitors and speakers;
• Conference preparation, such as preparing meeting packets and assisting with ordering relevant supplies and overseeing meal requests;
• Day-of-event attendance to provide support, including onsite registration and sign-in management, assistance with logistical set-up and tear-down, general oversight of and assistance with event flow;
• Maintaining records and creating reports;
• Management and logistical support of the Maintenance of Certification in Anesthesiology (MOCA) Simulation Program;
• Assist with marketing for individual events as well as CPL’s events management services, as requested;
• Providing front-desk reception, phone coverage and general office back-up to the Administrative Assistant to the Director
Although on-site presence is a requirement of this position, the opportunity for a flexible telecommuting schedule may be available after an orientation period.

Conditions of Employment
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.

Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

The ideal candidate is detail-oriented and possess exceptional customer services skills. We’re looking for a problem-solver with the ability to manage, prioritize and complete multiple simultaneous projects, be self-motivated, and adaptable in a team-oriented environment.
• Ability to remain organized and focused while successfully working on multiple competing tasks in a busy office setting
• Excellent oral and written communication skills to create correspondence and reports
• Familiarity with the hospitality and tourism industry
• Experience in planning, scheduling, and coordinating events
• Accurate and detail-oriented data entry and record maintenance experience
• Proficiency in Microsoft Office 365, Adobe Creative Cloud and Lucidpress
• Commitment to providing outstanding customer service to a diverse range of stakeholders
• Proficiency or familiarity with Smartsheet or similar data-collection, project-management software platform

Additional Requirements Regular working hours are Monday through Friday, 8 a.m. to 5 p.m. However, attendance to support specific events will, at times, require working evenings and weekends
